Position DescriptionSupervises Schedulers and/or Secretarial staff in assigned clinics;; coordinates office activities for assigned department. Acts as a liaison between Staff, Physicians and other hospital personnel, as well as physician offices and patients. Provides service adolescent, adult, and geriatric patients. PRIMARY DUTIES AND RESPONSIBILITIESMay regularly perform the duties and responsibilities of the Schedulers as required by assigned department.May train and orient new personnel; may cross-train all Schedulers as required by assigned department.Prepares monthly staffing schedules and assigns weekly duties as necessary to assure appropriate levels of coverage, checks work for accuracy and completeness; may counsel or discipline employees as necessary, and may evaluate assigned employees in accordance with hospital policies.May maintain attendance sheets and provide feedback to employees regarding attendance and clock-in policies as required by assigned department.Performs basic troubleshooting of the department and/or hospital scheduling or other computer system; works regularly with Information Systems department on all system maintenance/repair activities.Acts as a direct liaison to all physician offices, managed care agencies, patients, hospital personnel, and others as necessary to schedule procedures, provide information, resolve problems, and/or as otherwise necessary.Maintains responsibility for charging system and performs related activities to include working with billing office to assure correct patient billing.Prepares and/or provides statistical, financial and other reports and documents to various hospital departments, physician offices, managed care agencies and patients/representatives as necessary,Assists Internal Audit with preparation for and completion of audits.Works with new physicians'' offices, as well as radiology, and other hospital personnel as necessary in understanding assigned clinicsWorks directly with physicians and/or physician office staff on allocation of time, performing monthly utilization review and making changes as appropriate.Works directly with supervisors to prepare reports and assess utilization of rooms, procedures, equipment, and staff.Coordinates and insures the correct preparation of electronic medical records in advance of patient visits.Supervises an administrative team of up 20 staff. Position RequirementsKNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION REQUIREDHigh school diploma or equivalent Two (2) years experience as a Scheduler or other related experience.One (1) year of supervisory experience in healthcare or related environment.Demonstrated knowledge of Medical Terminology.Demonstrated experience in the use of a computerized scheduling system and related trouble-shooting, maintenance, and repair activities.Certified in cardio"‘pulmonary resuscitation (CPR).KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION PREFERREDTwo (2) years computer-related college coursework.Two (2) years of business administration/secretarial science.BA/BS in business or related field (Women First)BOC Certified (A Woman''s Place)License/Certification Requirements: YesWork Hours: 8a-5pWeekend Requirements: NoOn-Call Requirements: No
