Position: Administrative Asst 3, Location: North Wales PA or Jersey City NJ Duration: 06 Months Contract to hire Pay: $37/hr W2 conversion salary $75k this position provides direct administrative assistance to the SVP, Global Procurement & Supplier Management (GP&SM),(a) oversees the administrative coordination and execution of related activities required for the GP&SM Leadership Team including efforts related to scheduling, expense management, project oversight, and other key activities;(b) ensures execution of organizational and leadership priorities and(c) collaborates with administrative peers who support GP&SM leaders and other key stakeholders that partner with the function to achieve its mission. The primary activities include but are not limited to the following:Schedules complex, multi-leg and international travel Manage complex calendar and coordinate with other admins across organization and stakeholders to align on the calendar for the SVP and 1 to 2 of their direct reports Develop relationships, collaborate and network with Executive Support for the C-suiteManage GPSM digital community sites, including SharePoint and Teams and manage communications to GPSM and internal customers Support GPSM LT routine meetings, quarterly face to face meetings, and townhalls by researching, preparing agendas, creating visually appealing content, managing notes, minutes, and proactive follow-up on action items to ensure timely completion.Manage logistics of townhalls, face to face meetings and other larger global events, including venue, team building, guest speakers, audio/visual needs and other activities as needed to support the event Generating routine reporting from Workday, SAP, and other related systems Assist with job postings, scheduling interviews and responding to general onboarding issues/questions Manage distribution listsPrepare expense reports, purchase orders and payment requests in SAP, as required for GPSM operations Help brand and create and identity for the Global Procurement and Supplier Management organization.Take the lead on team culture initiatives. Plan for celebrations, events, and external team building Manage internal procurement communications to establish a consistent and standardized approach to keeping the team informed of key information Assist in responding to internal and external guests including answering phones and coordinating emails Prepare reports which may include data collection, analysis, and presentation Other office administrative functions including the ordering of suppliers, faxing, contract/file storage, and spreadsheet maintenance Work with a human resources business partner to perform basic functions when necessary e.g., aiding the onboarding of a new employee, airing a laptop, providing systems access, etc. May be asked to help coordinate special projects across the broader Global Business Services and organization. Quals-- Education: Required: High School Diploma Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)Required: Minimum of (5) years administrative experience supporting C Suite executives or experience in similar roles Advanced computer skills using (MS Outlook, Word, Excel, Power BI, Power Point) Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP Ability to handle and prioritize many simultaneous assignments Event Planning/Coordination experience Extraordinary attention to detail Outstanding communication, collaboration, and people skills Budget/Finance Management experienceMust have the ability to anticipate needs, work independently, and take initiative Diplomatic and team player who maintains the utmost positivity and confidence Know how to handle potentially sensitive or confidential information Ability to perform job duties in fast paced situations or handling complex communication Critical thinking to translate data and analytics into concrete actions Familiarity with visual design best practices Preferred 10 or more years administrative experience supporting a senior executive at the VP/SVP level or above Location Jersey City, NJ or Church Road, Landsdale, P
