This role combines traditional administrative assistant responsibilities with fun project work to keep things exciting. The administrative role is responsible for day-to-day work systems and tasks to support 3 senior leaders, along with broader office tasks (eg. room/food scheduling) for the portion of our service line that is Cincinnati-located (~20 of us). We will assign you project work in line with your passions and our business focus (media, brand visual assets, consumer listening and knowledge management, and brand automation/activation). Our work is a combination of creative brand ''commercialization'' work and more technical (eg. automation) work, so there should be something to satisfy any passion area you may have. We''ll even upskill you on key skills you''re interested in learning!For the administrative portion of the role, Individual should be well-versed in technical office tools and software applications, calendar management, and coordinating travel and business meetings. Having knowledge of newer/digital collaboration tools is a bonus since our team is spread across the globe.On the project side, a growth mindset (passion for learning) and ability to think strategically will be key. Depending on your skills/interest, we can structure the project part of the role to have you play either a ''leader'' or a ''team member'' role, and we are willing to structure the role to help you invest in your longer-term career development.Flexible on working hours and work from home/work from office (minimum work from office time is expected to be 40%) - you can align that with the VP/hiring manager as you discuss role.Job QualificationsWe believe you would be an excellent fit here, if you have:A minimum of a high school diploma, GED or equivalent education, however, a two or four-year college degree is helpful3-5 years experience as an Administrative Assistant preferredIndependent thinking /Direction Setting Individual understands business and priorities of Vice President, anticipates issues and seeks solutions; need take-charge attitude to deliver what is needed within own area of responsibility and serve as a resource to other Leadership Team membersAbility to build a strong relationship with Vice President to develop trust, enable decision making, problem solving, and priority setting; emotional intelligence and composure, even when ambiguous or high-pressure situationsThe highest respect for confidentialitySuperior Technical Skills/Expertise Individual must be proficient in all Microsoft Office programs for advanced calendar management and professional written communications in Word and PowerPoint; Possess ability to generate presentation quality documentsAdept at virtual assistant tools (Web-Ex, Virtual Collaboration Systems, MS Teams, iPhone, etc.)Strong Communication & Collaboration Skills Exhibit Business Etiquette skills with internal and external customers at all levels; including exceptional verbal, written, non-verbal skills as well as listening to understandExceptional Administrative and Organization Skills Makes decisions independently amid a multitude of day-to-day office operations to plan. Possess agility and the ability to handle multiple priorities& interruptionsStrong problem-solving skills which can be applied to business processes with a ''can-do'' demeanorLeadership skills - ability to lead independent project work, ranging in areas from commercial work (eg. brand visual guidebooks, videos, etc.) to more technical work (eg. doing basic automations such as surveys in Microsoft PowerAutomate. We are willing to train you on this skillset and the relevant tools).
