Description ARServices is looking for a Chemical and Biological Defense Physical (CBDP) Program Advisor to provide Operations Support subject matter expertise within the Office of the Deputy Assistant Secretary of Defense for Chemical and Biological Defense (ODASD(CBD)) to assist in the oversight of the Department of Defense''s chemical and biological defense (CBD) program. This position maintains up-to-date knowledge of current functions, missions, roles, and interrelationships of the USD(A & S) Staff, ASD(NCB) Staff, and Office of the Secretary of Defense (OSD) as they pertain to staff actions. Compliment ASD(NCB) and ODASD(NCB/CB) offices'' ability to execute and complete their missions and responsibilities in a timely and efficient manner. The position will work onsite at the Pentagon in Arlington, VA. Responsibilities * Analyze and provide the ODASD(NCB/CB) and action officers a short synopsis for each incoming tasks, data, information, documents. Assign tasks to ODASD(NCB/CB) Staff and subordinate organizations with a suspense date in accordance with the time sensitivity of the action. * Monitor staff actions originating from the OASD(NCB) to facilitate the ODASD(NCB/CB) Staff meeting suspense dates. Oversee the development, coordination, and staffing of all staff actions so that they are accomplished on time and reflect proper staffing procedures. Specific implied staff actions include: Freedom of Information Act (FOIA) requests, Formal Coordination on DoD Directives and Instructions, Congressional Inquiries, briefings, speeches, issue, information, position, and decision papers. Maintain technical proficiency in the use of the OSD CATMS and cross-train the staff to meet operational need. * Integrate products from throughout the ASD(NCB) organization and coordinate all office functions. Orchestrate office and organizational efforts to facilitate senior leader awareness within the enterprise enabling effective decision-making and peak operational performance. Support official communications, including official mail, phone calls, and interoffice communications. * Serve as ''gatekeeper'' for all actions and issues to facilitate the ODASD(NCB/CB) completing all required actions on time and reflect proper staffing procedures. Coordinate for automation, communications support and training. * Assist the government in developing and managing the office travel budget. Coordinate all aspects of domestic and international travel arrangements to include the preparation of country clearance messages, visa/passports applications, and process travel vouchers. * Provide a Continuity Book for each member of the operations section, and updates semiannually. Continuity Books are for when backup personnel are required to step-in immediately due to unannounced absence or departure of personnel. * Coordinate, execute and monitor office information security, physical security to include processing building pass/Common Access Card (CAC) requests, and monitor classified documents security. Coordinate security clearances/visit requests for office staff. * Develop, process, coordinate, and provide support for sponsorship letters, in/out processing, awards, rating scheme, and evaluation/appraisals. * Coordinate for and pickup supplies and parking passes. Requisition supplies, equipment, and furniture (monitoring Office supply budget). * Manage the reservations of meetings, and preparing and deploying briefing books. Support official communications, including mail, phone calls, and interoffice communications (Pickup and Deliver Mail). * Update and maintain the Office Continuity of Operations Plan (COOP). Develop, manage and sustain the office security program. Forward security clearances for meetings/conferences. * Maintain filing and archiving systems. Maintain CBDP historical files at the Pentagon; identify trends in those files and other data sources, and track related actions that facilitate effective and efficient oversight and reporting. * Support in-processing of all new hires for on-site and off-site (Pentagon Badges, CAC Cards). Support the office information technology point of contact (IT POC) as an alternate IT POC for establishing new computer accounts (unclassified & classified). * Prepare ODASD(NCB/CB) Weekly Reporting Requirements for ASD(NCB), awards and promotion ceremony functions, sponsorship memos/support. * Provide administrative, organizational and technical support for expert meetings to inform research areas, build research partnerships, and inform strategic planning. Locate and develop contracts for meeting space, audio visual * Assist the government with team building events to include planning/support and conduct of the event. * File and maintain classified information, including tracking classified files in paper file storage safes. Archive unclassified and classified files in the Chemical and Biological Defense Information Analysis Center. * Provide general support to the ASD(NCB) and ODASD(NCB/CB) in the preparation of briefing and presentation graphics. Work with ODASD CBD staff to develop meeting agenda, prepare and distribute meeting materials and (as needed) facilitate meeting discussion. Take meeting minutes and prepare draft meeting summary. * Assist in gathering information in preparation for government''s representatives'' congressional testimony for the record and effectively maintain all records and correspondence associated with these actions as related to CBDP activities. Requirements * Active secret clearance * Bachelor of Science or 10 years of experience. Desired education is a bachelor''s degree in physical or life sciences. * Desired experience is five years'' experience with chemical, biological, or radiological issues. * Excellent oral and written communication skills. Able to effectively communicate with senior leadership.
