For more information, visit . SUMMARY Provides executive level administrative support services to the Office of Management Strategy and Solutions (M/SS) in the U.S. Department of State. ESSENTIAL DUTIES AND RESPONSIBILITIES * Maintain the Director/Deputies calendars and scheduling all high-level meetings. * Receive and review all incoming/outgoing correspondence; keep a log for tracking purposes. * Assist in managing taskers and request for information requiring the attention of the Director/Deputies for accuracy, due dates, ensuring the completion and implementation of assignments by staff are done in a timely manner, and maintain a log for tracking purposes. * Maintain a chronological log and electronic filing system of all signed correspondence, official taskers, OIG correspondence complaints, etc. * Work in tandem with the Bureau Security Officer to ensure suite security and badge access/deactivation is properly executed and documented. * Serve as Proxy on certain matters as ePerformance ratings for senior staff (via GEMS); and leave requests from senior staff. * Demonstrate intermediate proficiency in the use of Microsoft suite (e.g., Word, Excel, and PowerPoint). * Serve as subject matter expert in various Information Technology applications such as ReserveIT, ServiceNow, and Department Notices. * Initiate S-ES/EX & GSO Work Orders, including supplies, equipment for the Front Office on request. * In support of the M/SS Front Office staff, plan and schedule foreign and domestic travel itineraries, book reservations, obtain tickets, arrange for government or commercial transportation of personnel and property, and other services related to official travel and transportation. * Serve in a liaison role among the M/SS'' directorates in relaying information about critical taskings to all M/SS Staff Assistants, in support of the Director and Deputy Director''s activities. * Assist with emergency planning and ensure the Front Office is current on Departmentwide procedures for emergency planning and continuing operations EDUCATON AND EXPERIENCE * Bachelor''s Degree or equivalent. * At least 10 years'' experience performing executive level administrative support. KNOWLEDGE, SKILLS AND ABILITIES * Active SECRET Clearance. * Successfully pass a federal background check and a drug screen. * Proficient in Microsoft suite software, as well as Department Notices, PMARS, ReserveIT, and Service Now applications.
