OCN is looking for a Program Assistant for their complex care management operations.Schedule: Mon-Fri 8:00 AM - 5:00 PM Pacific TimeProgram Assistant Care ManagementJob SummaryThe Program Assistant performs a variety of administrative and staff support duties for the care management operations. This position resolves administrative problems and inquiries; composes, edits and proofreads correspondences and prepares a range of administrative documents and reports. Additional responsibilities include meeting support and answering/prioritizing communications and correspondence. Work involves the development of moderately complex databases, spreadsheets, presentations and graphic materials. Essential Duties & responsibilitiesCoordinates and performs a range activity supporting Clinical Teams Serves as a liaison with both internal and external customers on behalf of Clinical Ops in the resolution of day-to-day administrative and operational problems Responsible for daily managing EMR task pools and distributing tasks to nurses to ensure timely responseReviews and assigns daily hospital rooster and creates tasks for nurse contact in EMRReviews, triages, and assigns inbound nurse referral from EMR systemReviews member lists and assists in identification of medically complex members for referral to case management staffComposes and edits correspondenceEdits and validates outbound reports Electronic file protocol oversite establishes, maintains, and updates files, databases, records, and/or other documentsDevelops, maintains and performs routine analyses and calculations of data for internal reportsParticipate in team meetings, multi-disciplinary meetings, care conferences and other collaboration via appropriate communication methods (teleconference, video conference, in-person conference)Assists management and staff in problem solving, project planning, and development and execution of stated goals and objectives Participates in ongoing clinical team compliance auditingManages collection of periodic health plan data reportsDuties listed below are integrated into all job functions:All staff members are to promote a positive and productive work environment by acting maturely and responsibly, satisfactorily performing his or her job responsibilities and conducting themselves in a professional, courteous and respectful manner toward fellow employees, physicians and members.Must relate to other people beyond giving and receiving instructions: (a) get along with co-workers or peers without exhibiting behavioral extreme; (b) perform work activities requiring negotiating, instructing, supervising, persuading or speaking with others; and (c) respond openly and appropriately to feedback regarding performance from a supervisor.Performs all duties in a manner which promotes and supports the Core Values and Mission StatementIntegrates Lean principles, practices and tools to improve operational efficiency, reduce costs and increase customer satisfaction.Frequently must follow written and oral instructions as well as complete routine tasks pletes annual compliance trainingAttends training to meet requirements of the job position and as needed or mandatedWorking knowledge of health care delivery systemsWork as an interdisciplinary team member with members, physicians, administration, staff and other managers.Other duties as assignedKnowledge Skills and AbilitiesWorking knowledge of health care delivery systemsDemonstrate knowledge of PC applications including MS Office SuiteAbility to use written and oral communication skillsAbility to read and interpret dataSkill in writing clear, grammatically correct, easy-to-use instructional documentationAbility to identify learning needs, set goals and seek educational opportunitiesAbility to analyze problems and formulate appropriate plans, solutions and courses of actionKnowledge of age specific communication needs with the ability to listen actively and respond to internal and external customers in a timely, competent manner both verbally and nonverbally Ability to work with frequent interruptionsAbility to establish and maintain cooperative working relationships with individuals at all levels of the organization and affiliatesAbility to maintain confidentiality of member and all related entity business matters of the organization and its partnersAbility to manage detail and work with accuracyAbility to recognize and act appropriately in situations where member care needs exceed medical certificationSkill in working with a team; ability to collaborate on projects with colleaguesSkill in working effectively under deadlines and changing prioritiesMinimal qualificationsEducation: Associates Degree in Business Administration or Healthcare related field preferred or Certified Medical AssistantExperience: 3 years administrative experience with increasing level of responsibility2 years working experience, within the last 5 years, with managed care products, Federal and State regulatory requirements (i.e., NCQA, HCFA, DOC), multiple health care delivery systems preferredInterested in learning more?
