Administrative Officer (Div)Requisition IDreq19890Working TitleAdministrative Officer (Div)Position Grade13Position SummaryThe Office of the Director (OD) within Project ECHO is seeking a highly motivated, detail-oriented, results-driven, proactive, and resourceful individual to provide specified administrative and logistical support. The selected candidate will be responsible for designing, organizing, and maintaining systems and processes that support key administrative operations. The ideal individual is very organized and thrives off enabling the people they support to be as productive and impactful as possible. This individual will possess outstanding communication skills (both written and verbal), have demonstrated problem-solving ability, display strong organizational and prioritization skills, and will work closely with other members of the team to represent the OD professionally and confidentially to internal and external constituencies. The selected individual will:• Serve as primary point of initial contact for the Director and Chief of Staff in the OD and maintain confidentiality of information received• Leverage excellent communication skills, and exercise tact and diplomacy in helping to manage relationships with senior stakeholders, both internal and external • Serve as principal point of contact for complex calendars on an ongoing basis including: schedule executive meetings involving the OD; review, organize and maintain information/documents related to executive meetings and travel• Demonstrate good judgment and strategic thinking by understanding competing priorities and prioritizing accordingly• Provide administrative support for OD initiatives and meetings, including scheduling, note-taking, and process management• Maintain primary responsibility for monitoring and appropriately addressing email correspondence coming into the departmental email address• Serve as primary P-Card holder for the OD. Book travel arrangements, track and process expense reports• Support documentation of the OD''s interaction with key external stakeholders and assisting in tracking and follow-up as appropriate• Work both autonomously and in collaboration with teammates, colleagues, and external contactsProject ECHO empowers local community providers to improve the well-being of people around the world.
