Position OverviewThe ECC Office Manager performs a wide variety of administrative and operational support functions, greets parents and students, and is a representative of the Douglas Family ECC to employees, parents, students, and the greater community. The ECC Office Manager is a detail-oriented people-person who interprets, transmits, and applies established rules, procedures, and policies to everything the department does. They provide collaborative idea generation and contribute to the formation and execution of departmental vision. This position requires oversight to ensure that all encounters with the ECC, both internal and external, provide a positive experience and sound resource for the Sinai Akiba community. Responsibilities include, but are not limited to: Manages the day-to-day operations of the ECC office, including internal and external communications, welcoming students, parents and teachers in-person or via email or phone, and answering and/or directing all inquiries. Assists with event planning by coordinating meeting room reservations, equipment and setup requests, and refreshment setup/preparation.Support carline/student pick-up/drop-off as needed.Prepares materials, attends meetings, and takes notes at said meetings when necessary. Receives and processes confidential information with discretion and in accordance with established guidelines and legal anizes and maintains ECC student files. Works closely with the all-school Student Registrar and other administrative staff to maintain accurate student records. Establishes and maintains systems relevant to educational programs in order to ensure the ECC is running efficiently. Maintains Director''s calendar by planning and scheduling meetings, conferences, etc. Handles departmental supply purchases, and processes monthly expense reports. Effectively utilizes and understands the school database, updating information and running reports as necessary. Conserves Director''s time by reading, researching, and routing correspondences as needed. Coordinates parent-teacher conferences. Edits teachers'' newsletters. Maintains accurate and detailed calendar of events, due dates, and schedules for the ECC. Assists Director in organizing professional development days, parent events, staff meetings, etc. Assists with field trip coordination as needed, including payment processing and email notifications, transportation coordination, preparing instructional letters, and maintaining health records. Supports teacher recruitment, including organizing resumes and scheduling interviews as needed. Assists with staff development conferences, gathers information, registers faculty, processes payments, and makes appropriate travel and/or hotel arrangements as needed. Creates and maintains a variety of tracking systems, spreadsheets, and database records to support educational programs.Minimum Education & ExperienceA minimum of a college degree is strongly preferred, along with any combination of training and experience that provides the required knowledge, abilities, and skills for the role. Minimum of two years experience as an assistant preferred. Employment Standards & Desirable Qualifications Ability to receive and process confidential/sensitive information with discretion and in accordance with established guidelines or legal standards. Prior experience with/proficiency in Microsoft Office Suite and Google Workspace (Sheets, Slides, and Docs). Excellent customer service and interpersonal skills and phone etiquette. Strong organizational and communication skills, including report writing, record keeping, filing, and editing. Performs a variety of simultaneous administrative assistant/clerical support work with speed, accuracy, and frequent interruptions. Embodies flexibility to spontaneous demands, have grace under pressure, and meet established deadlines. Ability to compose, type, edit, and distribute a variety of correspondence, memorandums, forms, reports, and department publications with clarity and precision. Establish and maintain a variety of records and filing systems. Prior database/CRM experience preferred. Establishes and maintains effective work relationships in the performance of required duties.
