The Parks Division is seeking a welcoming and customer-focused person for the Office Specialist position at the Headquarters Office in Lincoln. Working as an Office Specialist, you will provide front line customer service conveying park amenities, activity information, and rules and regulations to park guests while also ensuring office operations are sufficiently supporting recreational offerings. You will be at the heart of the operations and will gain valuable experience working with a statewide network of outdoor recreation professionals. JOB DUTIES: •Greet visitors and answer telephone calls, determine the nature of the guests' request and refer them to the appropriate agency employee or provide the needed information relating to parks visitor services. •Provide backup to the Agency switchboard and other Divisions as needed. •Provides a variety of clerical support functions including typing memos, legal documents and permits. •Compile and review accounts payable documents for correct coding and contact park area regarding proper documentation ensuring State Policies and Procedures are being followed and applied. •Sorts and distributes mail and prepares mailings. •Process temporary bi-weekly timesheets for payroll. •Process hiring and termination paperwork for all temporary employees with accuracy and completeness and create timesheets to distribute to the field staff. •Oversees Parks Division front entrance and conference rooms and maintain office supplies inventory. •Data entry and collecting information to assist with the generation of reports as necessary. •Assist with projects from Parks Administration as needed. QUALIFICATIONS/REQUIREMENTS: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment. Other: Driver's license is required. KNOWLEDGE, SKILLS, & ABILITIES: Ability to communicate effectively in person, by telephone, computer, email, and correspondence with co-workers, government officials, and the public. Locate, investigate, and analyze documentation and summarize information from manual and electronic files. Knowledge of Microsoft Excel, Word, Power Point, and business associated software preferred. Ability to determine scope and priority of personal work assignments, adding skilled attention to detail in written and oral business communications. Operate personal computer, printer, copier/fax machine, calculator, multi-line telephone system, and lift and move up to 35 pounds.
