Location: Smithfield RI Pay: $55-70K/yr We are seeking a Contract & Bid Manager to support our growing project portfolio. This role is ideal for a detail-oriented professional who enjoys working at the intersection of estimating, project management, and contract administration. Key Responsibilities - Support the preparation, review, and submission of bids, proposals, and contracts for commercial and public-sector HVAC projects. - Maintain bid logs, ensure timely submission of documents, and track RFP/RFQ deadlines. - Assist project managers and estimators with specifications, subcontractor/vendor quotes, and compliance requirements. - Review contract terms and identify potential risks or required clarifications. - Manage contract documentation, including change orders, certificates, and close-out packages. - Collaborate with internal teams to ensure accuracy and completeness of bid packages. - Support compliance with company policies, union requirements, and state/federal procurement rules. - Serve as a liaison with customers, general contractors, and vendors on bid/contract matters. Qualifications - 3+ years of experience in contract administration, bid coordination, or project support (HVAC, construction, or MEP industry preferred). - Familiarity with construction contracts, public bids, and subcontractor/vendor processes. - Strong computer skills MS Office Suite required; Procore, Spectrum/Viewpoint, or similar software a plus. - Ability to interpret project specifications, drawings, and bid documents. - High attention to detail, organization, and ability to manage multiple deadlines. - Excellent written and verbal communication skills. - Team player with a proactive mindset and problem-solving skills.
