Overview TITLE: Project Coordinator (exempt / non-union / full time / in-person) Reports to: Project Manager Position Summary: The Project Coordinator is a vital member of CVG’s project team, providing organized, detail-focused support to ensure the smooth execution of commercial building projects from preconstruction through closeout. Working closely with Project Managers, this role handles essential tasks such as job startup documentation, subcontractor agreements, purchase orders, change orders, Sage 300 project accounting, bidding and estimating assistance, scheduling, and permit coordination. The Project Coordinator ensures subcontractor requirements are met and project records remain accurate and up to date. This position collaborates with project managers, superintendents, subcontractors, and clients to keep projects on track, aligned with CVG’s high-quality standards, and supported by strong professional relationships. Responsibilities Prepare, process, and track all job startup documentation, subcontractor agreements, purchase orders, and change orders. Maintain accurate project records in Sage 300, including bills, cost coding, commitment change orders, and owner change orders. Ensure subcontractor compliance with contract requirements Ensure subcontractor change orders meet contract terms and include proper breakdowns of cost and scope. Review and understand plan specifications and documents for overall project knowledge. Track and facilitate permit submittals and approvals, coordinating with city agencies as needed. Review subcontractor invoices for contract accuracy, percentage of completion, and proper backup documents. Assist Project Manager with preparation of project invoices and reconciliation against commitments. Maintain and organize all project files in accordance with CVG standards. Maintain working knowledge of all systems used (Sage 300, Autodesk Construction Cloud, Microsoft Office) or request training when needed. Uphold CVG’s safety and quality standards at all times. Qualifications Entry level position for someone seeking to learn the processes involved in commercial construction projects; bachelor’s degree preferred. Proficiency with Word, Excel, and Outlook required. Strong communication skills (verbal and written). Organized with a strong attention to detail and accuracy, excellent follow-through skills. Ability to build and foster positive team relationships. Maintains a professional environment, demonstrates ethical behavior, and uses good judgement. Be adaptable, flexible, and resilient while managing multiple tasks concurrently in a fast-paced environment. Valid Driver’s License, valid auto insurance, and reliable transportation. Benefits PTO: Full-time exempt employees begin accruing PTO on the first day of employment. Employees accrue PTO based on length of employment, per an 80-hour pay period. New employees are not eligible to use PTO until they have completed at least 90 days of employment. Prolonged Sitting: Most administrative tasks involve sitting at a desk, working on a computer. Repetitive Hand Movements: Frequent use of a keyboard, mouse, and paper handling. Visual Strain: Extended screen time for document review, budgeting, and communication. Lifting: Frequently lifting office supplies, documents, or small equipment (typically under 20 lbs.). Verbal Communication: Frequent phone calls, meetings, and on-site discussions. Walking & Standing: Construction site visits may require prolonged standing and walking over uneven terrain. Climbing & Bending: Possible need to climb stairs or access different work areas. Use of PPE (Personal Protective Equipment): Required if on jobsite (hard hat, reflective vests, protective eyeglasses, closed-toed shoes, etc.). This position has an annual salary range of$69,000 - $80,000k. The actual salary offer will be carefully considered based on a wide range of factors, including your skills, qualifications, and experience.
