OverviewThe Finance Director is a key member of the administrative team at Friends of the Alameda Animal Shelter (FAAS), responsible for maintaining the financial health of the organization and providing strategic financial insights. This role oversees all bookkeeping functions and manages accounting workflows, documentation and reporting using QuickBooks Online. The Finance Director delivers accurate and timely financial analyses to support strategic decision-making and ensures compliance with Generally Accepted Accounting Principles (GAAP), nonprofit accounting standards, and municipal contract requirements, while fostering a culture of transparency, integrity, and fiscal responsibility.The Finance Director partners with a Payroll Contractor and directly supervises a Part-time Administrative Assistant, who provides support for financial and office management tasks.Core ResponsibilitiesProcess accounts payable and accounts receivable.Maintain the general ledger and journal entries.Reconcile bank, credit card, vendor, and client accounts.Prepare and submit monthly invoice packages to the City of Alameda and Alameda Humane Society for grant reimbursements.Manage the Surgery Center billing workflow, including weekly data integration/transfer between ClinicHQ and QuickBooks.Ensure accurate donation reconciliation between QuickBooks and Little Green Light (donor CRM), Square, Stripe and Goodbox.Track restricted and unrestricted funds in compliance with donor intent and grant requirements.Oversight of financial tasks that are managed by key staff members: weekly sales reports for Thrifty Kitty and Diggity Dog thrift stores (Square); bi-weekly payroll (ADP); petty cash and credit card usage (Ramp).Compliance & Financial ReportingAssist with the preparation of bi-weekly, monthly, quarterly, and annual financial reports, including forecasts, income statements, balance sheets, and fund balances.Process monthly income sales tax payments and quarterly reports/payments for applicable revenue sources as required by California state regulations.Prepare and maintain timely tax documentation, including support for the annual audit, 990 filings, and grant reports.Participate in organizational scenario planning to support long-term sustainability.Lead bi-weekly finance meetings with the management team to review expenses, budgets and forecasts.Develop and uphold internal controls to safeguard organizational assets.Support risk assessments and annual insurance review.QualificationsThe ideal candidate is a collaborative team player who brings high standards, integrity, and a sense of humor to their work. A passion for animal welfare and alignment with the mission of Friends of the Alameda Animal Shelter (FAAS) is essential. A valid California driver’s license is required. Additional qualifications include:Bachelor’s or Associate’s degree in accounting, finance, or a related field.Minimum of 5 - 7 years of experience in financial management, including at least 1 year in a nonprofit setting.Proficiency in QuickBooks Online, ADP Workforce Now, Microsoft Excel, and point-of-sale systems such as Square and Stripe.Strong understanding of nonprofit accounting principles, including fund accounting and the management of restricted funds.Exceptional organizational skills and keen attention to detail.Proven ability to manage multiple priorities, multitask and meet deadlines in a fast-paced environment.Experience with Little Green Light (or another donor management software) is a plus.Familiarity with tools or processes that support automation and data synchronization is highly desirable.Physical DemandsThis work is performed in an office and requires prolonged periods of sitting at a desk and working on a computer and the ability to operate standard office equipment such as a multi-function printer.
