Posting DetailsPosition Information Job Title Administrative Assistant I Summary Working under the supervision of the Director of the Ignatian Spirituality Institute (ISI), who also serves as the Superior of the Jesuit Community, the Administrative Assistant provides all administrative and clerical support for the ISI and the Superior's Office in accordance with established guidelines and procedures, ensuring efficient office operations and communication with internal and external constituents. Responsibilities include managing the Director's schedules; coordinating meetings, events, and travel arrangements; handling confidential information; and preparing expense reports.Duties and Responsibilities Support the Director/Superior with day-to-day functions of the ISI and Jesuit Community, including clerical and administrative tasks, maintaining multiple calendars, meeting scheduling, answering phones, email correspondence, and other general office duties as assigned.Responsible for coordinating ISI billing and purchasing card reconciliation.Coordinate travel and prepare travel itineraries.Help coordinate meetings. This involves reserving rooms and equipment, ordering food, preparing name tags, tracking RSVPs, and other related tasks.Coordinate communications with the area Directors of Jesuit works.Proofread and edit as neededMaintain confidentiality in processing informationAttend daily "check-in" with Director/SuperiorAssist with day-to-day operational tasks in Campus Ministry as time allowsOther duties as assigned.Required Qualifications High school diploma or equivalent.One or more years of experience in an office settingMicrosoft Office (Word, Excel, and PowerPoint) and its G-suite equivalents.Good organizational skills and customer service skills to deal with faculty, students, community members, and professional peers at area Jesuit institutions.Must be adept at multitasking.Discretion, professionalism, and attention to detail.Strong understanding of and commitment to creating an inclusive campus environment.Interest in understanding and advancing John Carroll's mission to inspire individuals to excel in learning, leadership, and service in the region and in the world.Preferred Qualifications Bachelor or Associate's degreeExperience working in higher educationExperience supporting an executive of an organizationNormal Work Location, Hours and Conditions Generally, 37.5 hours per week as assigned. This is a 12-month, full-time position that works on campus in University Heights, Ohio. University core business hours are generally 8:30 am - 5:00 pm. However, this position may require work to be performed occasionally outside of normal business hours based on department operations.Physical Requirements Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to travel to other office locations and to verbally communicate to exchange information.Hours Full Time FLSA Non-Exempt (Hourly) Compensation & Benefits Starting salary will be $16.75 - $18.00 per hour, commensurate with qualifications.
