Job Summary The Administrative Assistant III reports to the Associate Provost for Faculty and Director of the Center for Teaching Excellence (CTE). Working in a fast-paced and challenging environment that involves multitasking and managing a variety of projects and requests, the Administrative Assistant III will provide office management and coordination by performing a variety of administrative duties, and supporting the Associate Provost of Faculty and the CTE with the daily operations. This position frequently handles sensitive information and/or highly confidential material; organizes, prioritizes, and triages; is proactive and anticipates; and is a vital member of a team responding to internal and external demands. This position is a front-facing role and regularly engages with all visitors and callers to the CTE office. Responsibilities 1 - For Associate Provost for Faculty: provide administrative support and assistance, including making appointments, scheduling meetings, maintaining calendars, email and conference room reservations . Maintain office files in accordance with best practices in document retention and destruction guidelines. 2 - For Associate Provost for Faculty: prepare documents such as correspondence, charts, etc., for projects; coordinate various activities and events, including managing the communications and meetings/activities for the Department Chairs Council. This involves handling of confidential information. 3 - For Associate Provost for Faculty: assist with the planning and execution of various activities or events related to faculty, including the New Faculty Orientations; Fall Recognition; College-wide Committees. 4 - CTE: provide administrative support and assistance for the CTE Director, CTE staff and CTE faculty fellows, including making appointments, scheduling meetings, maintaining calendars and email. Place, answer, screen, and direct telephone calls, providing information or referral as needed; general office management and coordination with and support of the CTE team at large. 5 - CTE: greet and direct faculty/staff/student/visitors to the CTE. Provide event planning services as well as administrative support for all events and programs, including scheduling, marketing, setting up and breaking down the hospitality suite, organizing registration forms and activities, conducting training surveys, copying, signage, creating and editing of presentation and meeting materials, transporting items to and from designated buildings on campus. 6 - CTE: transcribes CTE data and program assessments. Oversee the process and flow of documents through this office by recording all incoming and outgoing items, reviewing for accuracy, preparing for review and signature by the supervisor and other related personnel. 7 - For Associate Provost for Faculty and CTE: assists with budget-related transactions, coordinates unit expenditure activities, including preparation of purchasing documents such as processing invoices, reimbursements, check requests, award checks, expenses related to visiting speakers, ordering supplies and reconciles. Managing processing of staff travel expenses, including Travel Prior approvals, registration, airline reservations, car rentals, hotel reservations, etc., as well as with preparing travel and expense reports for reimbursement. 8 - Other duties as assigned Required Qualifications 2 Year / Associate Degree 2-4 years of progressively responsible full-time related experience Preferred Qualifications * 4 Year College Degree * Experience with GA First Financials * One or more years with budgeting, E-procurement, or a similar system * Experience with SharePoint * Strong customer service experience * Strong Microsoft Office/Office 365 experience, including Outlook Proposed Salary $38,300 - $45,900 Salary offer will be dependent on candidate¿s experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.
