Flexible spending accounts and more!Position Summary: Responsible for overseeing the day-to-day operations of the office & retail property in a manner which enhances the value and maximizes profitability as well as ensures all goals of the company and property are achieved. This position requires the effective administration of all property operations including financial performance and reporting, office & retail management, maintenance/operations, special events, assisting with rental collections, expense control; develops and sustains strong relationships with tenants, vendors, and other key partners; and other duties as assigned. In this capacity the AGM is responsible for partnering with the General Manager, Operations Manager and other members of the property management team to ensure the property in its entirety and its tenants are exceeding expectations.This role is a key contributor to the total asset value creation working in partnership with Asset/Property Management, Marketing, Development, Leasing, Tenant Coordination and other internal teams as well as investors and/or joint venture partners.Responsibilities:Reasonable accommodations may be made to allow differently-abled individuals to perform the essential functions of the job. Responsibilities include but are not limited to:Operations and Management Assists in the implementation, execution and on-going deliverance of all property and company goals. Ensures all common areas (Retail and Office) are maintained at a first-class level at all times. Collaborates with Corporate, General Manager and other departments to prepare and manage the annual operating budgets for the property. Assists General Manager in the review and approval of expenses within budget guidelines. Lead/Assist in the negotiation and management of contracts, authorizing expenditures, reviewing monthly profit and loss statement. Lead/Assist with the preparation and review, under the guidance of the General Manager, financial reports, presentations and documents. Assists with collections of monthly receivables as requested by the General Manager. As directed by the General Manager, works with Accounting on discrepancies, accuracy and ensures all reports are provided and approved within the appropriate and requested timeframes. Partners with Operations Manager and General Manager on the implementation and continuous management of the property’s emergency and fire/life safety policies and procedures. Inspects the interior/exterior of the property on a daily basis and follows up on any deficiencies noted. Strategic Relationships Builds and maintains relationships with tenants, vendors, key community members and city departments, and competition within the market. Meets with and addresses any concerns/issues that arise within these relationships. Networks and gets involved in community and reach key local players/partners to drive business to property. Marketing Assists in the preparation of the quarterly and annual marketing strategies for the property. Partner with Marketing in hosting events and finding opportunities to promote the property to the community. Work with the Marketing Director and General Manager to research and understand market changes related to competition, demographics, community, economic conditions, etc. to appropriately adjust and change approach with strategic marketing plans. Security & Parking Assist the General Manager in managing the relationship with security and to ensure all needs of tenants, customers, and visitors are being met. Ensures that all areas of the property are staffed appropriately at all times of the day with security. Ensures parking structures are pristine and security is available to address any concerns. Works with team to find additional parking to accommodate special events, etc. at property. Office & Retail Property Management Works with Operations Manager and Marketing Director in ensuring that vacant spaces are presentable and accessible to broker and potential clients. Works with General Manager in the managing the office & retail property management team ensuring that the property is performing optimally and according to the approved budget, and reports to the General Manager any inconsistencies with the property’s performance and/or physical attributes. Assists in the performance and coordinates with the office & retail property management team and accounting to ensure that proper CAM/Tax reconciliations are completed and submitted to the General Manager & Senior Vice President for approval in March of each year in order to be approved and sent to all tenant no later than April 1 of each year. Conducts and submits for approval to the General Manager, a monthly variance report that includes: financial statement review, tenant delinquencies, lease move-ins and move-outs, etc. and informs and develops/executes a plan of action to the General Manager of any tenants that have a delinquency of greater than 1 month after the 10th of each month. Ensures a monthly review with the General Manager and other executives of the posting of the monthly rent roll, monitoring and ensuring that any rental increases outlined in the leases are properly reflected in the monthly posted charges. Conducts that daily/weekly/monthly site visits are performed on all tenants. Conducting with the General Manager regular (weekly) meetings with the property management team to ensure that the property is maintained in a best practice and clean workman like manner and that the AGM is properly monitoring and managing the onsite staff. In the meetings, the AGM will review key metric measurements with the General Manager such as the work order response time and customer satisfaction reports. These meetings will also cover property management’s site visit reports and follow-up action items that need to be completed and subsequently ensure that all these items have been completed and documented.Accountabilities:Successfully operate Property on a daily basis Foster positive relations with staff, management team, tenants and public Promptness and dependabilityJob Specifications:Bachelor’s degree required. 5+ years or more experience in mixed-use, retail and office property management CSM/CRRP designation preferred Proficient in all aspects of Microsoft Office with advanced Excel capabilities and experience with ARGUS or Yardi preferred Ability to multi-task and handle multiple priorities while managing aggressive deadlines High sense of urgency and ability to work independently. Adapts well to change and demonstrates ability to develop and implement process/system improvements. Proven track record to drive and implement strategic initiatives. Must be data oriented and have proven ability to interpret and synthesize data, make recommendations to drive business decisions. Must have great attention to detail and work well under pressure. Ability to work evenings, weekends and holidays as scheduled; includes Participation in MOD (Manager on Duty) Program.
