This role requires expertise in drafting and managing complex legal documents, handling e-filings across state, federal, and administrative forums, and coordinating every stage of litigation, including hearings, trials, arbitrations, and mediations.The ideal candidate is an organized, proactive professional with strong knowledge of litigation procedures, court rules, and e-filing systems, who thrives in a fast-paced law firm environment and anticipates attorney and client needs with discretion and professionalism.Key ResponsibilitiesDraft, revise, format, and finalize legal documents, correspondence, and memoranda from written drafts and transcription.Manage e-filings in state, federal, and administrative courts; ensure compliance with applicable rules and deadlines.Prepare case materials, exhibits, and binders for filings, depositions, hearings, trials, arbitrations, and mediations.Proofread and edit documents to ensure accuracy, compliance, and adherence to firm standards.Create and update Tables of Contents (TOC) and Tables of Authorities (TOA) for court filings.Maintain and monitor attorney calendars, tracking and scheduling critical deadlines, appointments, and meetings.Support new client/matter intake processes and maintain accurate case records.Coordinate attorney travel logistics, including flights, accommodations, and ground transportation.Assist with marketing projects, including pitch materials, attorney biographies, and presentations.Provide backup and overflow support to attorneys and staff as needed.Maintain strict confidentiality with all firm, client, and personnel matters.QualificationsHigh School Diploma or equivalent (Bachelor’s degree preferred).5+ years of litigation secretary experience in a law firm environment.Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with document management systems (iManage preferred).Strong writing, editing, and proofreading skills with meticulous attention to detail.Excellent organizational, time-management, and multitasking abilities to manage multiple attorneys and cases.Professional verbal, written, and interpersonal communication skills with clients, attorneys, vendors, and staff.Proven reliability in attendance, punctuality, and meeting tight deadlines.Physical RequirementsProlonged periods of sitting with occasional standing and walking.Frequent use of computersAbility to lift up to ten poundsSeniority levelAssociateEmployment typeFull-timeJob functionLegalIndustriesLegal ServicesReferrals increase your chances of interviewing at Oculus Group by 2xInferred from the description for this jobLegal Assistant / Legal Secretary Hiring Now!Legal Secretary - Legal Assistant - Insurance DefenseWe’re unlocking community knowledge in a new way.
