HumCap’s client, a leading managed service organization, is searching for an Executive Administrative Assistant. This fast-paced and high-visibility role enables the executive team to operate effectively. This position will be onsite in Southlake, Texas and will report to the Director of Strategy and Finance with dotted lines to the CEO and CFO. About the Business HumCap’s client focuses on strategic acquisitions of clinics across the US. The company provides back-office support (IT, HR, finance, etc.) for these clinics so the physicians can focus on clinical care for their patients.Position Overview The Executive Administrative Assistant position represents the opportunity to partner with a world-class team of energetic and high achieving team members including the CEO, CFO, COO, and other executives as needs arise.What You’ll Do Arrange complex travel coordination for the executive leadership team, with a primary focus on the CEO, CFO, and COO. This involves anticipating needs and creating seamless, proactive itineraries that maximize productivity and minimize friction. Facilitate critical communication by acting as a liaison between executives and key internal and external stakeholders, ensuring timely and effective information flow to maintain strong relationships. Curate and synthesize professional documents by drafting, proofreading, and formatting communications, reports, and presentations. This ensures all materials are clear, concise, and align with the executives strategic vision. Manage executive calendars, proactively coordinating meetings across multiple time zones. This includes ensuring key recurring touchpoints are maintained and rescheduled as needed to protect executive focus. Plan for and proactively communicate and manage all contingencies. Drive the planning and execution of key leadership meetings and events, including quarterly Senior Leadership Team meetings, monthly Strategic Operations meetings, and clinical practice visits. Responsibilities include agenda setting, logistics, budgeting, and documentation to ensure outcomes are met. Oversee and administer executive team expense reports, navigating strict processes to ensure accuracy and compliance. Collaborate with the events and communications associate on event planning and execution throughout the year. Host business partners, physicians, and board members during corporate site visits. Manage and maintain critical corporate resources, including calendars, distribution lists, and rosters, ensuring data integrity and accessibility for the entire organization. Spearhead all office administration, acting as the primary liaison for vendors, building management, and service providers. This includes optimizing office operations, maintaining an organized and welcoming environment, and proactively managing supply inventories. Proactively oversee corporate expenses by meticulously tracking and managing vendor invoices and recurring costs to ensure financial accountability. Champion team engagement and morale by planning and executing monthly team luncheons, events, and other celebratory activities. This includes managing all logistics, communications, and vendor coordination.
