POSITION SUMMARYThis position reports directly to the Associate Executive Director. The Program Director, Conference and Event Operations will lead the negotiation of all venues: hotels, convention centers, camps, catering, AV/WiFi & transportation. Responsibilities include the development and implementation of a rooming system used for overnight stays, oversee the volunteer logistics and support teams, and responsible for working in conjunction with the AED and with all program and volunteer program staff. Additionally, the Program Director will be responsible for the Y&G trailer, its movement and all inventoried assets kept in the trailer. This position will work with the Executive Director, AED, and Los Angeles YMCA Risk Management Department with regards to safety and risk for all conferences. This position will also work closely with the ED regarding any logistical tasks involved with moving or acquiring storage space. MINIMUM QUALIFICATIONS AGE: 21 years or older EDUCATION: Bachelor’s degree in business, recreation management (preferred) RELATED EXPERIENCE: Minimum of five (5) years of management experience (YMCA Program Director, preferred) SPECIALIZED SKILLS: Knowledge and demonstrated competence in implementing best practices in program area, management, volunteer and staff development, program operations and financial development; strong written and oral communication skills LICENSES & CERTIFICATIONS: Multi-Team or Branch Leader Certification (preferred) and must become a certified Y-driver, able to operate large vehicle rental WORK ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS You must have the physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodations. Serving Sacramento and Los Angeles Area ESSENTIAL FUNCTIONS Review contracts and prepare them for Executive Director and Legal & Chief Operating Officer for final signature Calendar out all payments Negotiate and secure in collaboration with the AED and ED: Venues for all conferences and meetings All in conference transportation: shuttle buses, airport AV & WiFi contracts Catering contracts Collaborate with Programming & Venue staff regarding program room setup needs & implementation Create logistics plan for every event in collaboration with program staff. Create a hotel/camp/barrack rooming system & procedures for all conferences with overnight In charge of the volunteer logistics team at conferences, create and distribute logistics matrix with all essential supplies, space setup & AV for all spaces, and be able to troubleshoot & quickly come up with solutions. Become the CA Y Y&G Safety Work with the ED, AED, & LA-Y's association's risk team to collaborate & update, coordinate & implement Y&G's Safety & Emergency Plans. Actively and continuously strategize plans to reduce program expenses. This can be accomplished by building partnerships and relationships with different organizations that offer reduced, discounted, or no charge services. Manage growth in the number of volunteers and the number of volunteer opportunities available within the support program areas: Safety & Wellness, First Aid, IT, & Production Services. Serves as a member of YMCA management and supports the overall objectives of the YMCA Attend staff meetings and trainings as needed Uphold YMCA policies for safety, supervision, mandated reporting and risk Demonstrate the Six Pillars of Character (Trustworthiness, Citizenship, Respect, Responsibility, Caring, and Fairness) as well as the YMCA Core Values of caring, respect, honesty and responsibility in all dealings with members, guests, volunteers and fellow staff. Liaison between Future Leaders Campaign and Youth Leadership Represent Cal Y&G Program nationally through the Youth and Government Program Alliance as a member RE: 8, Liaise with local, state and federal law enforcement agencies on integrated safety Oversee, recruit for, and ensure training occurs for volunteer Safety & Wellness teams, First Aid, IT, & Production Services.
