Property ManagerSanta Clara, CA 95054Salary: $90,000 $110,000ESSENTIAL JOB FUNCTIONS AND SPECIFIC RESPONSIBILITIES:Reporting Relationship:Reports directly to the Vice President or Senior Property ManagerGeneral Responsibilities:Responsible for all management aspects of the assigned properties, including operations, financials, and tenant relationsProperty Maintenance:Conduct regular inspections to ensure high-quality appearance and recommend maintenance/upgradesCollaborate with the Property Administrator to prepare, request, and maintain service contracts, purchase orders, and work ordersPre-qualify contractors, prepare bid packages, review/award contracts, manage certificates and warranties, and oversee contracted workCoordinate refurbishment of premises for leasing and maintain vacant spaces for marketingTenant Relations:Attend move-in meetings and present materialsManage move-in and post-move-in processes to ensure tenant satisfactionCoordinate Tenant Improvements when requiredServe as the primary tenant contact and maintain consistent communicationVisit tenants at least twice a year and ensure compliance with insurance and hazmat requirementsReview construction requests and notices of non-responsibilityConduct tenant closure inspections and final accounting with Property AccountantFinancial Responsibilities:Ensure timely collection of rent and apply late fees as neededProcess three-day notices as necessaryReview and approve monthly rent rolls, rent-up, and tenant statementsPrepare annual budgets and reforecastsApprove invoices up to the designated limit and monitor operating expenses against budgetPrepare monthly financial reporting and conduct CAM reconciliation analysisRespond to ownership and asset manager inquiries as neededGeneral Duties:Ensure accuracy of status reportsParticipate in weekend on-call rotationUnderstand all properties and emergency proceduresRespond to emergencies and perform admin tasks for VP as neededServe as backup for Assistant Property Manager and/or Property AdministratorEngage in departmental projects and support broader property management teamScope of Responsibility and Authority:The Property Manager supports day-to-day implementation of policies and programs that ensure well-managed, well-maintained buildings, with a focus on tenant satisfaction, safety, and alignment with ownership goalsREQUIREMENTS:Full-time positionActive CA Real Estate LicenseMinimum 4+ years of Commercial Real Estate Property Management experienceProficiency in MS Word, Excel, Outlook, and PowerPointFamiliarity with Kardin or similar budgeting softwareStrong prioritization, multitasking, and communication skillsHigh confidentiality, initiative, and teamwork orientationPHYSICAL REQUIREMENTS:Lift and carry up to 25 poundsAbility to stoop, bend, kneel, climb, and reach regularlyFrequent stair climbingAbility to sit for extended periods and use standard office equipmentAdequate vision, hearing, and manual dexterity for communication and equipment operationWe are an equal opportunity employer, and we are an organization that values diversity.
