Faculty Rank or Job Title Administrative Support Coordinator Job Category: Administrative (exempt/non-exempt) Department Mechanical & Materials Engineering EEO number: 25C363 Position FTE 100% Minimum Annual or Hourly Rate $15.05 Salary Band: CS14 Job Summary/Basic Function: Under direction from immediate supervisor provides various administrative support by maintaining, configuring, and analyzing confidential financial/academic databases, works on special projects (dept. publications, course documentation), prepares special correspondence and develops detailed (often complex) reports. Ability to manage multiple tasks and set priorities. Minimum Qualifications * A high school diploma or GED and two years (FT) of related work experience OR, two years of post-secondary education and one year of (FT) related work experience OR, a bachelor's degree in a related field. * Excellent verbal/communication skills. * Experience in writing, editing, and budget management. * Ability to calculate basic math. * Working knowledge and skills to utilize current office equipment and a variety of complex software packages. * Demonstrated skills/knowledge of additional software may also be required. Preferred Qualifications * Good interpersonal skills; experience working with people from varied cultural backgrounds. Essential Functions and percent of time: Administrative Support (40%) * Performs administrative work that is typically operational or procedural in nature relating to the program, office, or projects, including answering the phone, answering questions, and representing the program to incoming, prospective, and current students, faculty, staff, and the public. * Coordinates, maintains, and assumes responsibility for some department financial functions, including but not limited to: creating orders in WrightBuy system, assisting with chrome river expense and travel reports as needed, and initiating/completing documentation for adjunct/overload contracts. * Utilizes department or University policies, procedures, and practices to answer routine inquires. Resolves problems based on precedents. * Acts as primary liaison to physical plant, public safety, CaTS, and other university departments and divisions. * Prepare routine and non-routine correspondence. * Supports Chair and Academic Programming Director as needed. Manages special projects (25%) * Gather and maintain data needed for accreditation. * Research and run Cognos reports for faculty/staff as needed. * Generate various financial reports upon request. * Promote and/or communicate all aspects of the department's programs by developing various materials. Update marketing materials and website. * Other projects as assigned. Essential Functions and percent of time (cont'd): Event Coordination (20%) * Coordinates faculty and committee meetings, external advisory board meetings, etc. * Coordinates special student events for the department, such as the Capstone Expo * Assists with and attends all department events as needed * Assists with and attends college events as needed Student Hiring (10%) * Completes hiring paperwork for student workers in the department. Make sure students are aware of responsibilities for each position and follow procedures. * Creates position descriptions in Handshake and work with HR as needed to get position approved. * Approves timecards for hourly student workers.
