Position Summary & Responsibilities We are seeking a highly organized, proactive, and discreet Senior Executive Assistant and Office Administrator to provide comprehensive administrative and strategic support to our senior leadership team. This pivotal role requires you to anticipate needs, manage complex schedules, handle confidential information with professionalism, and ensure the smooth operation of Logos’ facilities. The ideal candidate will act as a critical liaison between the leadership team, staff, and external partners, ensuring seamless communication and efficient operations to empower our executives to focus on strategic priorities and drive organizational success. The full responsibilities include: Leadership Meeting Preparation and Support: Coordinate and prepare for leadership meetings, including scheduling, developing agendas, gathering and distributing materials, and tracking action items. Calendar and Schedule Management: Proactively manage and maintain complex calendars for 3-4 executives, including scheduling internal and external meetings, appointments, and events, optimizing their time and productivity. Travel Coordination: Arrange domestic and international travel itineraries, including flights, accommodations, and ground transportation. Communication Management: Serve as the primary point of contact, screening and prioritizing incoming communications (emails, phone calls, mail) and drafting professional correspondence, when appropriate, on behalf of the CEO. Expense Management: Process and reconcile the leadership team’s expense reports in adherence to company policies. Office Administration: Manage general office administration, including ordering office supplies, managing office equipment, working with vendors (e.g., janitorial, security, food and beverage, etc.), and overseeing facility-related tasks. Anticipate Needs: Proactively identify and address potential issues or conflicts, offering solutions and recommendations to ensure smooth daily operations of the CEO and leadership team. Qualifications Experience: Minimum of 7 years of experience as an Executive Assistant supporting C-level executives or senior leadership in a fast-paced environment. Technical Proficiency: Expert-level proficiency with Google Workspace and strong aptitude for learning new software and systems quickly. Organizational Skills: Exceptional organizational and time-management skills with the ability to prioritize tasks and manage multiple projects simultaneously. Communication Skills: Strong written and verbal communication skills, with the ability to tailor messaging to diverse audiences. Discretion and Confidentiality: Proven ability to handle highly sensitive and confidential information with discretion and integrity. Problem-Solving: Strong critical thinking and problem-solving abilities, with a proactive approach to anticipating challenges and developing effective solutions. Adaptability: Flexible and adaptable team player, comfortable navigating ambiguous situations and quickly adjusting to changing priorities. Education: Bachelor’s degree preferred; relevant certifications in administrative professional programs are a plus.
