OverviewUnder the direct supervision of the Licensing Manager and general supervision of the Executive Secretary and Chair of the Licensing Board, the Licensing Application Specialist will assist with the intake, processing, and organization of annual non-alcohol and alcohol applications.ResponsibilitiesResponsible for ensuring the complete submission and updating of all annual license applications and file maintenance.Maintain knowledge of all license application requirements and ensure applicant compliance with the requirements.Assist constituents with licensing requirements, application processes, review, and submission for annual department-issued licenses, including Common Victualler, Alcoholic Beverages, BYOB, Fortune Tellers, Lodging/Dormitories, Billiards, and bowling.Assist in drafting correspondence to licensees regarding various licensing matters.Process and issue department-issued licenses.Serve as backup liaison between applicants, the Licensing Board, and the Alcoholic Beverages Control Commission (ABCC), ensuring compliance with all regulatory pile reports and respond to public record requests or inquiries from other agencies, departments, or Board members.Assist with annual license renewals, including generating invoices, renewal packages, and processing submissions.Assist with maintaining and updating licensing records within city databases, ensuring accuracy and compliance with legal requirements.Support public outreach efforts, including hosting/co-hosting webinars and educational sessions on licensing processes.Support the issuance of licenses, renewal instructions, and invoices, and assist with renewal application processing.Serve as a point of contact for applicants and attorneys regarding required supporting documentation.Provide in-person, phone, and email customer service to the public regarding licensing inquiries, applications, and hearings.Assist with the organization of the alcohol portal and monitor the availability of alcoholic beverage licenses.Serve as a part-time receptionist and cashier at the front counter, processing applications, payments, and answering inquiries.Perform related tasks as required.Minimum Entrance QualificationsTwo (2) years of full-time, or equivalent part-time, office experience in work that involves the processing of transactions and the accurate preparation, tracking, and maintenance of files and documents.A bachelor's degree in a related field is preferred and may be substituted for two (2) years of the required experience.Preferable if the candidate has good knowledge of: departmental rules and regulations relative to the processing and issuance of licenses pursuant to Massachusetts General Laws Chapter 138 and 140; the Rules and Regulations of the Alcoholic Beverages and Control Commission; and office practices and procedures, including but not limited to proper telephone and live customer service.Excellent organizational skills and ability to work independently with minimal supervision.Ability to build and maintain effective working relationships with diverse stakeholders and to work collaboratively with cross-functional teams.Strong written, oral, and communication skills required.Strong customer service skills.Additional language skills preferred.Good organization and strong attention to detail.Proficiency with Microsoft Office, Google Suite, iNovah, and IPS preferred.Ability to exercise good judgment and focus on detail as required by the job.TermsBOSTON RESIDENCY REQUIREDUnion/Salary Plan/Grade: SEIU/RL-15Hours per week: 35Seniority levelEntry levelEmployment typeFull-timeJob functionInformation TechnologyIndustriesGovernment AdministrationWe’re sorry, but this job description has been refined to remove nonessential content while preserving core responsibilities and qualifications. #J-18808-Ljbffr
