This includes managing correspondence by drafting, editing and distributing emails, letters, or memos with a high degree of professionalism. Prepare detailed reports and agendas to support the Executive Director and Operations Manager's strategic planning and decision-making processes. Work involves anticipating the needs of the Executive Director or Operations Manager, liaising with other departments to gather necessary information, and maintaining an organized office environment to facilitate efficient workflows. This position requires exceptional attention to detail, professionalism, and the ability to handle sensitive information with discretion. This role will work closely with the Executive Director and Operations Manager. Duties include but are not limited to the following: * Efficiently manage, oversee, and maintain Microsoft Outlook calendars for the Executive Director and Operations Manager to facilitate seamless scheduling. * Managing correspondence by drafting, editing and distributing emails, letters, or memos as directed. * Prepare detailed reports, agendas, or research to support the Executive Director and Operations Manager's strategic planning and decision-making processes. * Draft, compile, and prepare detailed and precise meetings minutes for the Executive Director and Operations Manager as requested. * Address and respond to data queries from external parties. This will include answering questions, processing payment and providing requested data via email. * Provides front desk support by answering incoming phone calls and assisting walk-in visitors in a prompt, courteous, and professional manner. Minimum Qualifications * Three years of high-level administrative experience supporting agency executive staff, projects or programs. Education may be substituted for experience as determined relevant by the agency.
