We are currently seeking a dynamic and energetic customer friendly person to join our growing team. Reception/Secretarial Greet visitors in person and by phone; log all office visitors. Answer incoming phone calls and direct inquiries to the appropriate team member. Assist clients with software access, including password resets. Maintain client service agreements and file documentation accurately. Keep filing systems up to date; prepare records for storage as needed. Administrative Research Process new background screening orders and perform quality control checks. Research and enter criminal record information in designated software. Maintain and update client and user information in screening systems. Handle client calls regarding order status, setup, and delivery. Accounting Assistance Assist with monthly billing spreadsheets and payroll timesheet entry. Enter accounts payable invoices and accounts receivable payments into QuickBooks. Prepare deposit documentation for review. Send client account statements and conduct collection calls as needed. Secondary Duties Provide backup support for drug testing setup, verification calls, and other staff duties. Assist with company projects and cross-train in other office functions. Draft reports, letters, and memos as directed. Perform other duties as assigned. Qualifications High school diploma or equivalent required; Associate’s degree in Business, Office Administration, or related field preferred. 3-5 years of experience in reception, secretarial, or administrative support. Proficiency in Microsoft Office Suite (Word, Excel, Outlook); ability to learn and use client management/screening software. Experience with QuickBooks or other accounting software preferred. Strong attention to detail and accuracy in data entry, recordkeeping, and compliance. Excellent verbal and written communication skills with a professional phone manner. Ability to manage multiple priorities, maintain confidentiality, and work independently or as part of a team. Customer service mindset with a proactive, problem-solving approach.
