Overview This position serves as the manager for a specific property or properties and is responsible for management, financial analysis, budgeting, and tenant relationships/retention to improve asset value and operations. The position is responsible for oversight and coordination of each property’s physical upkeep and maintenance. The position is responsible for meeting financial objectives. Responsibilities General Operations Lead and manage one or more teams of property managers and engineers including hiring; training for job specific requirements; performance evaluations and performance counseling. Manage/oversee building operations, including responsibility for appropriate and cost-effective maintenance of property; review and approve all vendor contracts. Responsible for the day-to-day operation of the property. Identify and oversee any necessary capital projects. Provide oversight of capital and tenant improvements including internal approvals. Review tax valuations and determine the need for appeal. Review Insurance coverage limits and premium billings. Requires on-call availability for business needs. Financial/Accounting Review financial analysis for properties, including analyzing financial aspects of leases and tenant financial statements and property economics. Prepare and review Yardi models for the annual business plan. Update Yardi models at least quarterly to determine if any value changes have taken place and to ensure an accurate model at all times. Lead efficient and accurate financial reporting and fiscal control of assigned properties. Prepare monthly and quarterly reporting packages (with input from appropriate staff); review and approve monthly and quarterly operating reports; control property operating and management office expenses within budget. Advise upper management on a timely basis when expense projections may vary significantly from original budget or if major delinquency problems occur. Review progress against the operating and capital budgets on a monthly basis and re-project, as necessary. Position May Include: Leasing/Lease Administration/Marketing Sustain relations with brokerage community by evaluating the productivity and resourcefulness of leasing brokers. Set and review leasing guidelines; prepare and approve leasing proposals and documents prior to execution. Develop and direct annual marketing plans, preparing or reviewing monthly marketing materials and maintain information comparable files. Interact with the brokerage community, leading property tours, and implementing the annual marketing plan. Coordinate/request space planning or space preparation requirements for prospective lease transactions. Analyze proposed lease financials, tenant financial statements, and property economics. Prepare leasing proposals for General Manager's approval; negotiate lease agreements with input from counsel and General Manager. Prepare and submit necessary documentation to obtain lease approvals. Oversee preparation and maintenance of all tenant marketing materials. Requirements Specific Job Skills Demonstrated leadership and people management skills. Knowledge of real estate law and ability to read and interpret contracts and agreements accurately. Exceptional analytical, problem-solving, and decision-making skills. Demonstrated expert level communication skills, including the ability to negotiate, to explain complex concepts and issues, and to use tact and diplomacy in sensitive situations. Excellent customer service, interpersonal skills, and conflict resolution. Ability to successfully perform multiple tasks and to reprioritize work on a regular basis. Ability to read, write, speak, and understand English. Proficient use of basic office machines and computer software, including Word, Excel and Outlook; ability to use Yardi or other financial modeling software is helpful. Strong lease negotiations experience may be required. Education and Experience Bachelor’s Degree or equivalent in business, finance, or real estate management. A master’s degree in business (MBA) is highly desirable. 5 to 8 years required experience in progressively responsible positions, with experience in leadership, personnel management, financial/fiscal management, and real estate management. Must have current Real Estate License, or ability to obtain within the first 6 months of hire. Completion of some Building and Owner Management Association (BOMA) and other industry-specific classes would be helpful, along with some training in negotiating and financial analysis preferred. Physical Demands Visual acuity to read words and numbers, peripheral vision, and depth perception including close proximity and focus. Ability to exert up to 15 lbs of force and regularly lift and/or move up to 20 lbs. Sufficient hand, arm, and finger dexterity with ability to handle and feel tools, including office and computer equipment. Speaking and hearing ability sufficient to communicate in person or over the phone in English. Frequently move about inside buildings and outside, over uneven terrain, while maintaining balance. Ability to ascend/descend a ladder. Ability to alternate between sitting and standing frequently throughout day, while walking up to 8 hours a day. Ability to reach with hands and arms overhead occasionally. Frequent use of computers for significant amounts of time.
