This position involves clerical tasks with a particular focus on Special Education, assisting with business office duties including Accounts Payable, and managing various administrative tasks essential to the smooth operation of the district. This position is based primarily at the administrative office, but may require occasional assignments at other school buildings within the district as needed. QUALIFICATIONS High school diploma or equivalent. Proficient in office software, including Microsoft Office Suite (Word, Excel, Outlook). Experience with Frontline Absence Management or similar systems preferred. Strong organizational skills and attention to detail. Ability to handle confidential information with discretion. Strong communication and interpersonal skills. ESSENTIAL DUTIES AND RESPONSIBILITIES Main Reception Serve as the first point of contact for visitors, staff, and students, providing excellent customer service and directing inquiries appropriately. Answer and manage incoming phone calls, emails, and messages, ensuring timely responses or escalations as needed. Maintain a welcoming and organized front office environment. Special Education Clerical SupportEnter and manage Individualized Education Program (IEP) data, ensuring accuracy and compliance with deadlines. Process requests related to IEP documentation in a timely manner. Assist in maintaining and organizing special education files and records. Maintain and update transportation documentation for students with special needs. Monitor teacher/para Medicaid billing. Process DepositsAccurately record and process financial deposits, maintaining proper documentation for auditing purposes. Ensure compliance with district and state financial policies. Accounts PayableProcess and verify invoices, ensuring timely payment to vendors. Reconcile discrepancies and maintain detailed records for financial audits. Mail ManagementReceive, sort, and distribute incoming mail and packages. Prepare and send outgoing mail, ensuring timely delivery. Building SupportProvide support at Madison Elementary School as needed. Cover clerical duties at different buildings in the event of staff absences, ensuring continuity of operations. Additional Clerical SupportPerform clerical tasks assigned by the Superintendent, ensuring the efficient operation of the administrative office.
