Job Description - Executive Assistant To Chief Financial Officer /Chief Administrative OfficerAbout The Role:We are seeking a highly organized, proactive, and detail-driven professional Executive Assistant to provide dedicated support to our Chief Financial Officer (CFO) and Chief Administrative Officer (CAO). In this critical role, you’ll act as a trusted partner, managing high-level administrative and operational responsibilities, facilitating smooth communication, and handling confidential matters with the utmost discretion. You’ll play a pivotal role in organizing priorities, coordinating cross-functional projects, and keeping our executive office running at top speed. Since our founding in 1986 by Chuck Hull, the inventor of 3D printing, we have continuously pushed the boundaries of what is possible with additive manufacturing.Talent Development: At 3D Systems, we invest in talent programs to support employees with opportunities to grow, contribute, develop, and thrive in their careers.Connection & Engagement Opportunities: We strive to cultivate an environment where our diverse global workforce can connect and thrive.What We Are Looking ForManage complex calendars for the CFO and CAO, including scheduling meetings, coordinating logistics, and prioritizing time-sensitive requests.Prepare, review, and edit correspondence, presentations, reports, and other executive-level anize and coordinate internal and external meetings, including Board and leadership meetings, with attention to detail and discretion.Handle confidential information with a high degree of professionalism, judgment, and integrity.Serve as a liaison between the CFO/CAO and internal teams, external partners, and key stakeholders.Assist with preparation and follow-up for key meetings, including compiling agendas, taking notes, and tracking action items.Manage travel arrangements and itineraries, ensuring smooth, cost-effective travel and accommodations.Process expense reports, purchase requests, and related administrative documentation in a timely and accurate manner.Support the planning and execution of special projects, events, and strategic initiatives on behalf of the CFO and CAO.Proactively identify opportunities to improve workflows, increase efficiency, and support overall executive productivity.Maintain accurate and organized files, records, and contact databases.Provide back-up support to other executive assistants or leadership team members as needed.Perform other duties as assigned.QualificationsWhat You Will BringBachelor's degree in business administration, communications, or related field preferred5+ years of executive-level administrative experience, preferably supporting C-suite executivesPrior experience in a corporate, fast-paced, and confidential environment (finance or manufacturing industry experience a plus)Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlinesStrong written and verbal communication skills; able to draft polished correspondence and executive-level materialsHigh level of discretion and professionalism in handling confidential and sensitive informationProactive problem-solver with strong judgment, initiative, and attention to detailProficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (e.g., Zoom, Teams)Experience managing calendar coordination, travel planning, and expense reportingComfortable interacting with senior leaders, internal teams, board members, and external partnersAbility to thrive in a hybrid work model — independently productive while highly collaborativeFlexibility in work schedule for crunch periods is required3D Systems is an equal opportunity employer.
