OverviewRare opportunity to become an onsite manager to a Luxury Premier property in DOWNTOWN Sarasota. Provides management, direction, and leadership to ensure the property is maintained and operated in accordance with KWPM objectives. Property Managers are certified and licensed by the State of Florida for Community Property Manager (CAM). Responsibilities As the key employee liaisons between the client, KW Property Management, and internal support staff, the Property Manager must perform the job duties with a view toward projecting a professional and competent image: service to the customer in a friendly and outgoing manner is essential, while timeliness and professional appearance are key. Work closely with the Association Board of Directors and/or the Developer to manage and operate the community, facilitate solutions to problems within the community. Strong management skills, customer service skills, and supervisory skills are required. Act as the company’s primary coordinator on assigned properties to ensure the company’s contractual property management obligations are met or exceeded. Prepare annual budget for the association and analyze and distribute monthly financial statements including operating variances from budget, cash management, and strategies for collection of receivables. Maintain complete and accurate property files and records, coordinate with headquarters support staff on management company procedures, and provide prompt, detailed, and accurate general status reports on all properties assigned. Supervise on-site team members; develop specifications; evaluate service needs and performance; ensure staff comply with safety standards; motivate staff to work as a team. Establish and maintain collaborative working relationships between departments and with other project team members; prepare for and chair team meetings. Acquire and maintain current knowledge of state statutes and each client’s community documents, policies, and procedures. Coordinate move-in processes for new residents and provide orientation to staff and building; review services and building rules and regulations. Set and adhere to high performance standards and follow up to ensure service delivery. Respond to phone calls and correspondence in a timely and professional manner; maintain professional relationships with the Board of Directors, Unit Owners, and vendors. Run a Board of Directors meeting when necessary according to Roberts Rules of Order. Create management reports with updates on administrative items, financial overview, property condition, project progress, and recommendations; prepare professional presentations of reports, action plans, budgets, and bid analyses. Support KWPM’s GREAT values, philosophy, goals, and policies; organize time effectively and balance multiple projects; attend monthly Manager’s meetings. Maintain and upload all documents into the management support systems; monitor contracts; negotiate contracts; ensure vendors provide a certificate of insurance naming the Association and KW Property Management as additional insured and certificate holder; obtain copies of business licenses; update documents accordingly. Maintain accurate records and communication pertinent to the Association office; organize files and policies per company standards; update Association communications (menu boards, newsletters, website). Process violations, work orders, architectural control applications, lease applications, and sale applications monthly as required. Manage cash balances and project funding; monitor aging reports, timely legal action, and the collection module; maintain equipment maintenance logs and preventive maintenance manuals. Qualifications Must have a strong working knowledge of customer service principles and practices. Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents of similar complexity. Proficient with Microsoft Office Applications. Must have a Florida CAM license. Must have a valid FL Driver’s license. Flexible hours, including potential nights and weekends. Ability to react to emergency situations promptly. Some locations require bilingual English and Spanish. Work EnvironmentThis job operates in a professional office environment. Standard office equipment is used. Physical DemandsRegularly required to talk or hear, stand, walk, use hands, reach with arms, and walk the property daily (including stairs). Position Type / HoursThis is a full-time exempt position. Days and hours are Monday through Friday; business hours determined by the client’s needs. TravelSome travel to attend training and/or meetings, locally. Education & Experience Must have strong working knowledge of customer service principles and practices. Ability to read, analyze, and interpret technical procedures, leases, regulations, or documents with similar complexity. Proficient in Microsoft Office. Florida CAM license required. Valid Florida driver’s license. Flexible hours; may include nights and weekends. Ability to react to emergencies promptly. Some locations may require bilingual English/Spanish.
