Overview Join to apply for the Director, Intake & Access role at Avivo Description The Director of Intake and Access will be responsible for management and delivery of access and intake teams and functions for a fast paced, intensive outpatient treatment program for adults and families and community outpatient mental health. As Avivo continues to centralize and streamline its chemical and mental health intake function, this role will also support intake for additional chemical and mental health service lines. This team answers phone calls and inquiries for services across the Avivo continuum. The role includes leadership, supervision, management, and direct service delivery for both Avivo’s Intake and Access Teams, which include verifying front-end funding for care, collecting and reporting on data, ensuring intake/access census metrics are achieved, ensuring all phone lines/email/fax are responded to and address daily, ensuring direct access to chemical and mental health services, and provision of intake and access services (admit/access). This role reports directly to the Vice President of Chemical and Mental Health and will work closely with the Service Area Directors in the division and additional managers/leaders in the division to ensure that all stakeholders experience a Radical Welcome along with high quality services. This position is scheduled to be fully on site and will work either a 4 day or 5 day (preferred) work week within the 32-hour Reduced Work Week. Approximately 50-60% of the time will be focused on supervision and management and 40-50% will be focused on direct delivery of intake and/or access service delivery (phones, scheduling, intake sessions, and/or assessments). Primary Responsibilities Support and deliver operations of Intake and Access in support of Chemical and Mental Health programming. Lead and deliver the day-to-day operations of large, fast-paced walk-in and open access chemical and mental health continuum. Supervise, train, and oversee operations of the Access and Intake functions. Support the Vice President and division with key data and metrics (calls, referrals, intakes, scheduling, number of programs referring). Ensure high quality operations by driving the implementation of formal program policies and procedures in collaboration with leadership team. Direct delivery of intake and/or access service delivery (phones, scheduling, intake sessions, and/or assessments) a minimum of 50% of time. Office in shared space with intake and/or access team. Ensure team is fully utilizing all necessary Electronic Health Records to report and monitor program outcomes. Ensure front-end funding source, insurance payer verification and entry (insurance and/or behavioral health fund) in Credible is occurring on the front end for intake and access clients and other programs as requested by Vice President. Coordinate front-end insurance/payer verification in coordination with Revenue Cycle Team and program leaders to include insurance, authorization tracking, reporting. Develop and maintain an active list of all referral sources and partners while ensuring radical welcome and relationship/referral building. Maintain program outcome-based statistics, demographics, reporting per program, funder and Avivo requirements developed in partnership with Vice President and collaborative with Service Area Directors. Serve as an additional DAANES entry and support person in coordination with Treatment Service Area Director and Director of Revenue Cycle Management. Supervision This position supervises the following positions, as well as their teams: Chemical Health Assessors (3) Office Assistant (1) Team Lead, Central Intake and Access (1) Intake Coordinators (2+) Qualifications Bachelor’s degree in behavioral science or leadership, program management, health care, or another related field. Minimum of 4 years experience in similar or related functions, preferably in a substance use treatment and/or community mental health setting. Minimum of 2 years supervisory experience, preferably in a behavioral health setting. Minimum of 2 years experience with electronic health records. 2 years or more freedom from substance use problems. Experience with and/or commitment to working in a diverse continuum of services in a fast-paced, growing organization. Must have a valid, current driver’s license, proof of valid insurance and a clean driving record. Preferred Or Desired Strongly Desired Licensure: Licensed Alcohol and Drug Counselor (LADC) in Minnesota and/or licensed or eligible for licensure as Mental health professional in Minnesota. If licensed, maintain current license and inform supervisor immediately of any change in licensure status. Master’s degree in social work, behavioral health, leadership, program management, health care, or another related field preferred. Knowledge and experience with front end revenue cycle functions in a behavioral health setting (authorizations, insurance verification, etc.) Experience with and/or commitment to working in a diverse continuum of services in a fast-paced, growing behavioral health organization.
