OverviewWe are seeking a dynamic and motivated Legal Administrative Assistant (LAA) with 5-10 years of litigation experience in civil litigation to join Newmeyer Dillion. This role requires a team player with full knowledge of filing in federal and state courts, strong attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment. Probate and Appellate experience is a plus.Newmeyer Dillion has provided clients with industry-leading, results-driven legal representation for over 40 years. What You’ll DoCompose drafts and revise legal documentation, reports, correspondence, memoranda, discovery, pleadings and other legal documents; proofread and correct spelling and usage errors.Perform administrative tasks such as filing, coding and organizing documents, entering client billable time, and opening new files.Prepare, finalize and submit court filings (electronic and physical) with state and federal courts; serve legal documents as needed.Oversee organization of case files and maintain notebooks and records as needed.Sort, scan and process incoming mail; coordinate with delivery services and ensure timely itiate conflict of interest memoranda, open new files, and maintain client and general files as needed.Schedule conferences and depositions and maintain calendars for attorneys and paralegals.Coordinate travel arrangements, including airline reservations, hotel, and ground transportation.Arrange for conference room reservations and greet clients and guests.Assist with time/billing entries and edit pre-bills as necessary.Use internal data sources and document management systems to retrieve information for attorneys; retrieve electronic court decisions online.Support the Legal Support Team as needed and collaborate with firm personnel to maximize workflow and efficiency.What You’ll NeedHigh School Diploma or GED required; undergraduate degree or some college preferred.Five to ten years of administrative or legal litigation secretarial experience in relevant practice areas.Full knowledge of filing in federal and state courts.Probate and Appellate experience is a plus; docketing/calendar management experience required.Proficiency in Microsoft Word and Outlook; basic knowledge of Excel, PowerPoint and database systems; familiarity with imaging and scanning applications.Ability to adapt to change and balance competing demands in a fast-paced environment.Strong interpersonal and collaboration skills, attention to detail, and the ability to take ownership while maintaining confidentiality.Excellent organizational, time management, and prioritization skills; self-motivated and able to work as part of a team.Physical Environment And Working ConditionsNormal office environment with standard office equipment.Regularly required to talk or hear; able to stand, sit, walk, and use hands; occasional light lifting of 15 pounds or less.Work may require more than 37.5 hours per week to complete essential duties.Note: This job description is not exhaustive.
