Job Title Student Affairs Office Manager Position Summary The Student Affairs Office Manager is a 12-month full-time professional staff member responsible for the operational and administrative support of the Division of Student Affairs at Texas Wesleyan University. This position manages the front-facing customer service experience in the Student Affairs suite and at the Martin Center front desk, ensuring a welcoming and efficient environment for students, visitors, and staff. The Office Manager coordinates purchasing and requisitions, facilitates scheduling and reservations within university systems, and provides administrative support to divisional leadership. This role is pivotal in maintaining daily office functionality, promoting positive student interactions, and supporting divisional priorities. Essential Duties and Responsibilities * Serve as the primary customer service representative for the Division of Student Affairs, welcoming visitors and addressing inquiries in person, by phone, or via email. Daily - 35% * Manage the day-to-day operations of the Student Affairs office and the Martin Center front desk, including supervision and scheduling of student staff. Daily - 30% * Provide administrative support to the Vice President for Student Affairs and the broader Student Affairs team, including scheduling, correspondence, and project coordination. Daily - 20% * Manage university space reservation requests using scheduling software. Daily 10% Coordinate all divisional purchasing, including submitting requisitions, processing purchase orders, and maintaining budget tracking for supplies and services. | Daily 5% | * Support planning and logistics for divisional and university signature programs and events. | As Needed | * Maintain confidential student records and correspondence in compliance with FERPA and institutional policies. | As Needed | * Other duties as assigned based on the evolving needs of the Division of Student Affairs | As Needed | Education, Certifications and/or Licenses * An associate's degree or higher preferred * Administrative or office management experience required, preferably in higher education Experience * Experience supervising part-time employees preferred Knowledge, Skills & Abilities * Strong knowledge of general office management practices. * Familiarity with higher education environments and student services. * Knowledge of budgeting, purchasing, and requisition systems. * Understanding of FERPA compliance and confidentiality standards. * Experience using scheduling or event management software (e.g., EMS, Astra). * Bilingual (Spanish) preferred * Excellent interpersonal and communication skills. * High attention to detail and ability to manage multiple tasks simultaneously. * Strong organizational and time management abilities. * Proficiency in Microsoft Office Suite and administrative systems. * Ability to maintain professionalism and composure in a fast-paced environment. * Demonstrated ability to work both independently and as part of a team. * Ability to maintain confidentiality and exercise sound judgment. Language Skills Ability to read and comprehend written instructions, correspondence and memorandums. Ability to write routine reports and correspondence. Ability to read and interpret documents such as safety rules, operating/maintenance instructions, and procedure manuals. Ability to speak effectively before groups of customers or University employees. Mathematical Skills Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to accurately calculate and compute occupancy rates and forecasts. Reasoning Ability Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to develop and interpret a variety of instructions in written, oral, diagram, or schedule form.
