MISSION:It is the mission of the South Carolina Department of Juvenile Justice (DJJ) to impact and transform young lives, strengthen families, and support safer communities through targeted prevention and rehabilitation.JOB PURPOSE:Under general supervision of the Director of Public Safety, this position is responsible for coordinating and carrying out support functions of the Office of Public Safety and performing highly administrative tasks and advance clerical assistant in support of the Director and staff.JOB RESPONSIBILITIES:Plans and coordinates the administrative functions for the Office of Public Safety to include personnel activities, contracts management, accounting, budget preparation, file management, procurement, NCIC, administrative, general administration, inventory, and public relations. Manages emails and responds timely and accurately. Responsible for ensuring all law enforcement inventory, is tracked and documented by the appropriate personnel and provides assistance when applicable.Serves as a liaison between the Office of Public Safety and other agencies, staff, and general public. Manages the Director of Public Safety's schedule. Tracks the flow of Communication to the Director of Public Safety. Responsible for helping to monitor and track correspondence and activities relating to agency-required compliance with entities such as Legislative Audit Council (LAC), Department of Justice (DOJ), Criminal Justice Academy (CJA) and others. Provides oversight to ensure division policies and written procedures are kept current. Provides on-going support to the dispatch and communications area as needed.Coordinates meetings, conferences, and appointments for the Director of Public Safety with other DJJ divisions and/or outside agencies. Communicates with external and internal stakeholders through verbal and written format to ensure that business needs of the office are met. Receives, opens, reviews, and distributes incoming mail, correspondences, documents and other material received. Prepares outgoing mail. Provides answers to inquiries that are routine in nature, and forward others to the appropriate staff for a response. Assists citizens or staff with complaints that are received via telephone or in person. Directs complainant to the appropriate person, or division to resolve the complaint. Responsible for oversight and management of the 'citizens commendation and complaints' on the agency's website. Develops and implements file management system. Maintains office supply inventory in a cost-effective manner. Performs some purchasing functions for the Department of Public Safety.Performs other related job duties as requested to support the division or the agency. Minimum and Additional RequirementsSTATE MINIMUM REQUIREMENTS:A high school diploma and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.ADDITIONAL REQUIREMENTS:Knowledge of agency policies, procedures, rules, regulations, and program services. Knowledge of governmental fiscal and personnel procedures, practices, & policies. Knowledge of office practices, procedures, and equipment. Ability to coordinate diverse administrative functions. Ability to establish & maintain effective working relationships. Ability to maintain confidential information, exercise judgment & discretion in interpreting and applying policies and procedures. Ability to prepare reports, presentations and other products by operating Microsoft Word, Access, Excel, PowerPoint, and Power DMS. Ability to exercise considerable tact & courtesy in frequent contact with the general public, elected officials, agency staff, & others. Organizational skills are needed.This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice.
