Job Title: Student Management Clerk Exemption Status: Nonexempt/At- Will Reports to: Principal Pay Grade: D5 Dept./School: STEM ECHS Calendar Days: 220 Primary Purpose: Maintain accurate attendance records for the campus. Under close supervision, perform data entry including attendance, Public Education Information Management System (PEIMS) data, and grades. Qualifications: Education/Certification: High school diploma or GED Special Knowledge/Skills: Ability to use software to develop spreadsheets and databases, and do word processing Proficient in keyboarding, 10-key numerical data entry, and file maintenance Ability to meet established deadlines Above average oral and written communication skills Job training with Information Services on PEIMS and computer skills is required Experience: Three years data entry experience preferred Three years clerical experience Major Responsibilities and Duties: Records and Reports 1. Collect and enter attendance and PEIMS data into established database and verify accuracy according to prescribed procedures. 2. Maintain student records and process requests for student information and transcripts. Process new student records, including requesting transcripts and records from other schools. 3. Assist parents, students, and faculty with questions regarding student attendance. 4. Contact parents/guardians to verify student absences as needed and report attendance problems to designated administrator. 5. Prepares attendance profiles for student/parents/court requests. 6. Supervises attendance office student workers. 7. Prepares data for court referrals and hearings. 8. Prepares attendance awards and certificates lists. 9. Types attendance warning letters and drops letters. 10. Compile, maintain, file, and distribute all reports, records, and other documents as required following established procedures. 11. Keeps informed of and complies with state and district policies and regulations. 12. Prepares the graduation list under the guidance of the counselors. 13. Maintains the students' grade point averages and rank in class. 14. Works with counselors to provide students with information about courses and graduation requirements. Other 15. Assist in campus office as needed. 16. Participates in training sessions, faculty meetings, and special events, as required. 17. Maintain confidentiality. 18. Follow district safety protocols and emergency procedures. 19. Perform other job-related duties as assigned by the campus principal or designee.
