Company OverviewRapidly growing asset management firm seeks extremely detail oriented, independently motivated individual with strong analytical and practical abilities to perform a variety of billing and administrative tasks. We are seeking a proactive Billing Specialist to join our dynamic advisory firm. This role is pivotal in driving firm growth by supporting the billing and processing of new advisors and clients, while also ensuring seamless service delivery through administrative support in account services. The ideal candidate will have strong communication skills, excellent organizational and detail-oriented abilities, and a client-first mindset. Skills in process initiation and implementation a plus. This role provides the opportunity to help analyze and shape the position to grow the role and department over time, as well as implement new procedures to streamline workload and create efficiencies. Looking for someone to take complete ownership of this role, as well as implement new procedures to streamline workload and create efficiencies.This position reports directly to the Senior Vice President of Finance .Skills & Qualifications:Minimum of 1-2 years experience in RIA billing or financial services industryAssociate's or Bachelor's degree preferred, Accounting or Finance degree desiredMust be highly skilled with Microsoft ExcelExperience with Orion Advisor Technology, Smartsheet, and FileMaker desiredMust be highly analytical and detail oriented with strong work ethic, ability to follow procedures, and problem solving mentalityMust be able to manage deadlines, prioritize workload, and maintain customer satisfaction in fast paced work environmentMust possess strong, dynamic interpersonal and communicative skills, verbally and writtenHigh level of ownership and responsibility for work product and actionsJob DescriptionDaily maintenance of Orion Databases and FileMaker systemAssist with new account set ups and paperwork auditsFacilitate calculation and processing of quarterly and mid-quarter feesCoordinate with 3rd party custodians to administer the processing and collection of monthly and quarterly money management feesDevelop checks and balances to verify data integrity and eliminate billing errorsInvestigate fee billing rejections and follow up with advisorsPerform reconciliations to confirm complete collection and disbursement of fees, as well as fee reimbursements, when requiredMonthly preparation of advisor payout detail reports of advisory feesMonthly preparation of chargebacks ancillary incurred feesMaintain thorough documentation on fee calculations and changesAssist with daily staff and advisor requests or inquiriesAdministration and organization of company files and recordsWorks directly with the Billing Coordinator to identify opportunities to enhance the experience for affiliated advisors and create workflow efficienciesMeticulously executes all billing responsibilities with the highest of quality, ethics, and integrityNourish and maintain excellent advisor relationships to provide highest level of customer serviceSpecial project work will often be assignedJob Type: Full-timePay: $50, $60,000.00 per yearBenefits:401(k)401(k) matchingDental insuranceFlexible scheduleHealth insuranceHealth savings accountPaid time offParental leaveVision insuranceWork from homeWork Location: Remote
