As our agency continues to grow in public-sector, private-sector, and grant-funded work, strong contract and proposal support is essential to our success.The Contracts Coordinator supports the Project Management Department by assisting with bid writing, proposal and grant development, contract execution, and internal coordination. This role works cross-functionally with Project Management, Creative, and Account teams to ensure proposals are accurate, compliant, well-organized, and aligned with client goals and agency capabilities.ResponsibilitiesBid, Proposal & Grant SupportAssist with writing, organizing, and submitting public and private bids, proposals, and grant applications.Support compliance reviews to ensure submissions meet RFP, RFQ, and grant requirements.Coordinate timelines, deadlines, and required documentation for submissions.Track proposal status and assist with follow-up communications as needed.Contract Coordination & ExecutionSupport contract execution processes, including document preparation, routing, tracking, and storage.Maintain organized contract files, amendments, and supporting documentation.Assist with monitoring contract milestones, deliverables, and key dates in collaboration with the Project Management team.Creative Brief DevelopmentCollaborate with the Creative Coordinator and Accounts Coordinator to support the development of creative briefs.Help gather project inputs including scope details, objectives, timelines, deliverables, and client requirements.Ensure creative briefs are complete, clearly documented, and aligned with approved contracts and ternal Coordination & DocumentationWork closely with Project Managers to support project setup following contract execution.Maintain accurate records of bids, proposals, grants, and contracts in internal systems.Support internal handoffs from contract award to project kickoff.Administrative & Process SupportAssist with standardizing proposal templates, boilerplate language, and documentation.Support internal process improvements related to bids, contracts, and proposal workflows.Participate in internal meetings related to project planning and contract status updates.QualificationsBachelor's degree in Business, Communications, Marketing, Public Administration, English, or a related field preferred.Prior experience supporting proposals, bids, grants, contracts, or project coordination is strongly preferred.Strong writing, editing, and proofreading skills with exceptional attention to detail.Ability to interpret and organize complex requirements and documentation.Excellent organizational and time-management skills with the ability to manage multiple deadlines.Strong communication skills and ability to collaborate across departments.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with project management tools is a plus.Experience with government, healthcare, education, or nonprofit contracts is advantageous.Join Creativity Justified as a Contracts Coordinator and play a key role in securing and launching impactful client work.
