Each member of our staff is committed to service, innovation, and the success of our clients.Job SummaryThe Senior Payroll Specialist is responsible for processing payroll, maintaining accurate payroll records, and ensuring full compliance with federal, state, and local regulations. This role requires exceptional attention to detail, strong analytical skills, and the ability to handle sensitive information with the highest level of confidentiality. The ideal candidate will be a proactive communicator who represents the Payroll Department with professionalism and delivers best-in-class service.Key ResponsibilitiesPayroll ProcessingProcess weekly and bi-weekly payrolls for all employees (monthly, if applicable).Ensure accurate calculation of wages, overtime, bonuses, and deductions.Support project-based payroll reporting and certified payroll submissions as needed.Provide best-in-class service by delivering timely, accurate, and solution-oriented payroll support.Serve as the primary point of contact and face of the Payroll Department, communicating effectively and professionally with employees, managers, and external partners.Collaborate with HR, Accounting, and Operations to ensure accurate general ledger postings and cost allocations.Data ManagementMaintain payroll records, including employee information, time records, and pay rates.Reconcile payroll data to ensure integrity across HR, accounting, and timekeeping systems.Update and maintain employee payroll files, ensuring accuracy and plianceEnsure compliance with all applicable federal, state, and local payroll laws and regulations.Prepare and submit payroll tax reports, filings, and payments to appropriate government agencies.Reporting & AuditsGenerate payroll reports for management, including labor cost, tax liability, and year-end reporting (e.g., W-2s).Assist with internal and external audits related to payroll, benefits, and taxes.Employee SupportRespond promptly and courteously to employee inquiries regarding pay, deductions, and other payroll matters.Research and resolve payroll discrepancies and process adjustments as needed.Partner with HR and other departments to ensure seamless and accurate payroll operations.System & Process ManagementUtilize payroll systems and tools to process and manage payroll data efficiently.Assist in system implementations, upgrades, and maintenance.Identify and recommend opportunities for process improvement to enhance accuracy, compliance, and efficiency.Stay informed on current payroll legislation, regulations, and best practices.QualificationsEducation:High school diploma or equivalent required; associate or bachelor's degree in accounting, finance, or a related field preferred.Experience:Minimum 3+ years of payroll processing experience in a complex, multi-state environment.Understanding of project-based accounting and payroll processes.Experience with Deltek Vantagepoint or similar ERP/accounting systems.Experience with prevailing wage and certified payroll reporting preferred.Skills:Strong knowledge of payroll regulations and compliance requirements.Excellent attention to detail and accuracy.Strong organizational and time management skills with the ability to meet deadlines.High degree of confidentiality and professionalism.Proficiency in payroll and financial software, as well as Microsoft Office Suite.Demonstrates effective communication and collaboration, representing the Payroll Department with professionalism and excellence.Exemplifies a commitment to quality, service, and continuous improvement.We are an Equal Opportunity Employer.
