Job OverviewWe are hiring a Remote Secretary / Receptionist to manage inbound client communications, scheduling, and CRM organization for a growing service-based business. This is a work-from-home administrative role focused on answering phone calls, responding to texts and emails, scheduling jobs, and following up with leads and clients.The ideal candidate has prior receptionist or administrative experience, strong phone etiquette, and is comfortable managing multiple tasks in a fast-paced remote environment.Primary ResponsibilitiesCustomer Service & Communication (Highest Priority)Answer all inbound phone calls professionallyRespond to client texts and emails promptlyHandle all initial client inquiriesMonitor and manage active inbound communications dailyScheduling & Calendar ManagementSchedule jobs, service requests, and approved workCoordinate schedules with crews, clients, and managementConfirm appointments and handle reschedulingCRM & Administrative Support (Jobber)Manage and update Jobber CRMTag leads and clients by service typeTrack referral sources accuratelyPerform lead follow-ups (quotes, invoices, job follow-ups)Send invoice reminders and post-job communicationsOperations & Office SupportLog activity and KPIs into a master spreadsheetAssist with supply store payments in coordination with managementComplete administrative tasks such as data entry and organizationMarketing & Outreach SupportAssist with seasonal outreach and targeted marketing campaignsSend personalized thank-you messages or gifts for referralsDaily Time FocusInbound calls, texts, and emails: ~6 hoursScheduling and coordination: ~1 hourLead follow-ups and CRM updates: ~1 hourAdministrative and marketing support: remaining timeRequired QualificationsPrevious receptionist, secretary, administrative assistant, or customer service experienceStrong phone etiquette and communication skillsExperience answering high call volumeComfortable working fully remote and independentlyProficient with Google Workspace (Gmail, Docs, Sheets)Strong organizational and time management skillsPreferred QualificationsExperience with Jobber CRM or similar CRM softwareExperience in home services, landscaping, construction, or tradesBilingual (English/Spanish preferred)Experience with scheduling, invoicing, and lead follow-upsBenefits100% remote, work-from-home positionStable hours and structured responsibilitiesLong-term role with growth potentialSupportive team and clear systemsPay: $ $24.00 per hourExpected hours: 40.0 per weekWork Location: Remote
