Primary PurposeThe Bidding Specialist role ensures alignment with the Company's risk tolerance, reviews bid solicitation notices and coordinates with internal departments for comprehensive submissions. This role independently manages the per-award phase of the RFP's, ITBs, RFQs and bidding solicitations. The Bidding Specialist processes any corresponding contract awards and reviewed them for accuracy in relation to original bid opportunities before execution and works closely with sales, finance, and management teams in order to provide support in contract administration. Essential FunctionsReviews external clients' bid solicitation notices and forms to ensure they align with Company's risk tolerance coordinating with internal departments and management to gather necessary information for submission of the bid solicitationResponsible for the direct coordination with sales and operations to ensure the opportunity/bid is submitted completely and on time to ensure arrival by the opening date and time.Manages daily workload independently in a face pace environmentIs responsible for setting up meetings with internal stakeholders to ensure coordination with various departments to support the bid preparation.Reviews the award contract for accuracy relating to original bid opportunity prior to execution and sends out the executed contract to external and internal stakeholder.Prepares specifications and other exhibits, compiling additional documents to complete client requirements and requests.Manages the relationship with Surety to gather required bonding (bid bonds and performance bond) including the close out of these bonds post close.Drafts responses for submission to the awarding agency and our client by the questions due by date for clarification in scope, technical or commercial terms.Works closely with Company's sales force, finance, and management teams.Ensures that all pricing drafted for the solicitation has been reviewed for profitability with the Pricing Department.Contract Management & Administration - Provides overall support in contract administration functions for the legal department. Acts as the point person on all requests relating to current and past bidding activities, responsible for relaying information to the internal sales force.Responsible for inputting essential contractual requirements and data into the Contract Management (CLM) database.Helps with special projects as assigned by the department manager and legal department as needed.Able to prioritize work to achieve successful completion of assignments within firm due dates.Establishes and maintains positive relationships with clients and internal stakeholders through a customer-oriented mindset.Exercises discretion and independent judgement in significant matters and entails direct responsibility for negotiating, processing, and coordinating across departments and fostering business growth. SUPERVISORY RESPONSIBILITIES This position does not have direct supervisory responsibilities. Within the posted salary range, individual pay is determined by the geographic location, job related skills, experience, education, and certifications.
