Executive Assistant Monte Sano Research Corporation (MSRC) is a Huntsville-based Small Business specializing in providing full-spectrum defense system engineering, research, design, development, integration, test, evaluation, and planning services to the U.S. Government. MSRC is seeking a highly capable and seasoned Executive Assistant to serve as the primary backup to the Senior Executive Assistant and provide high-level administrative and strategic support to executive leadership. This role is ideal for a polished professional who thrives in a fast-paced corporate environment, anticipates needs before they arise, and executes with precision, discretion, and sound judgment. The selected candidate will play a critical role in ensuring continuity of executive support, operational efficiency, and seamless coordination across leadership. Beyond traditional executive support, this position serves as a trusted extension of the Executive Office with representing leadership and contributing to strategic execution across the organization. Duties & Responsibilities: Serve as the primary backup to the Senior Executive Assistant, ensuring uninterrupted executive support and operational continuity. Anticipate needs, exercise sound judgment, and execute independent decisions in support of executive operations. Manage complex executive calendars, coordinate internal and external meetings, and maintain office operations in executives' absence. Prepare, edit, format, and provide detailed presentation support for professional documents and materials in Microsoft Word, Excel, PowerPoint and Canva. Assist executives in prioritizing workload, urgent matters, shifting deadlines, and high-visibility initiatives. Represent leadership at select internal and external meetings, industry events and client engagements. Coordinate comprehensive travel arrangements, including flights, hotel accommodations, transportation, dining reservations, and detailed itineraries. Prepare and submit purchase requests, execute approved purchases, maintain organized receipt documentation, prepare expense reports, and reconcile credit card transactions. Support the planning and execution of corporate meetings, board sessions, and company-wide events. Demonstrate strict attention to detail in composing, proofreading, formatting, and delivering briefing materials. Maintain the highest level of confidentiality regarding sensitive, proprietary, and executive-level information. Education: Bachelor's degree in Business Administration or equivalent professional experience. Job Qualifications: 5+ years proven experience providing executive level or equivalent level support in a fast-paced corporate environment. Excellent communication skills: oral, written, and interpersonal. Must possess strong attention to detail and be highly organized. High-level proficiency in Microsoft Outlook (email and calendar), Excel, Word, PowerPoint, SharePoint, and Teams. Must be self-motivated, work independently, collaborate with a team and multi-task in a fast-paced environment. Ability to interact effectively with internal and external senior-level executives, customers, and government officials and their assistants in a professional manner.
