Project Scheduler This role provides comprehensive administrative and project coordination support for the Environmental Water Division, working closely with cross-functional teams and senior leadership. Responsibilities: Prepare and coordinate RFIs, memos, manuals, specifications, proposals, and technical reports. Manage calendars, travel logistics, and expense reports for senior staff, including the company president. Oversee building operations and manage vendor contracts. Track project timelines, maintain internal databases, and support project managers to ensure quality and timeliness. Support billing and timesheet tracking. Provide front desk support and manage professional business correspondence. Assist with marketing materials and proposal coordination. Essential Skills: Minimum 5+ years of administrative experience, ideally in engineering, construction, or architecture firms. Strong command of Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Project. Familiarity with Ajera (Deltek) for billing and timesheet tracking. Strong multitasking, document preparation, and coordination skills. Excellent organizational and communication abilities. Ability to work independently and collaboratively with technical teams. Additional Skills & Qualifications: Experience in engineering or consulting environments is highly valued. Project coordination in engineering or construction environments. Vendor management and contract review. Onboarding new hires and supporting administrative staff. Local to the Fountain Valley area. Preferred Skills: Strong proofreading, technical writing, document preparation, and coordination abilities. Work Environment: Work is based on-site at the Fountain Valley, CA office, primarily supporting the Environmental Water Division with cross-team collaboration. The team culture is fast-paced, detail-oriented, and highly collaborative. The role reports to division leadership and supports executive-level staff. Training includes the opportunity to work with the outgoing coordinator before retirement. The office setting features ergonomic workstations with stand-up desk options.
