Program Assistant-Transitional Employment Support Services (TESS) Established in 1973, YCD is a nonprofit organization who serves residents of all ages living in the most historically underserved communities of San Francisco. YCD takes a holistic approach via a delivery eco-system of services designed to empower residents in achieving economic mobility, in turn building and sustaining a positive community by providing them with education opportunities, workforce development training, and social services. Each year YCD provides around 1,200 community members with employment and training services through their programs and partnerships. Project Overview The TESS program was designed to provide opportunities for trainees, with various levels of job skills, to get training and work experience. The Transitional Employment Support Services (TESS) program was developed to increase the success of TESS participants at their host sites and move towards unsubsidized employment. Work sites include Recreation and Parks Department (RPD), SF Metropolitan Transportation Agency (MTA), SF Public Utilities Commission (SFPUC), and others City Departments. Position Summary The Program Assistant supports the efficient daily operations of the Transitional Employment Support Services (TESS) Program by assisting with a variety of administrative and organizational tasks under the direct supervision of the Program Coordinator. This role requires a detail-oriented individual who can handle multiple responsibilities, including maintaining client attendance records, managing program files, booking workshop spaces, and assisting the Program Coordinator with routine tasks like coordinating the intake, enrollment, and job placement assistance for all program participants. In addition, the TESS Program Assistant is responsible for tracking and reporting progress for all participants. This position is part-time and temporary (based on budgeting) with a 6-month assignment. This role is non-exempt, 22.5 hours per week, in-person, Monday-Friday 9a-1:30pm with occasional off-hour assignments. Key Responsibilities: Create, update, and organize client files (digital and physical) and maintain accurate, confidential records. Manage filing systems for compliance and easy document retrieval. Assist with data entry to ensure all client information and progress notes are current. Book workshop spaces and support alignment with program schedules Set up and break down workshop equipment, including PowerPoints, TVs, projectors, laptops, and audio TV components Prepare workshop materials, ensure all technology is functional, and assist with attendance tracking and documentation Prepare universal intake forms on program computers before orientation days Support the Program Coordinator with client check-in and orientation logistics Assist with ordering, labeling, and organizing program materials Attend off-site job fairs, employer spotlights, and other outreach events within San Francisco Build positive relationships with employer partners and professionally represent the TESS Program Send client newsletters with job postings, reminders, and program updates Conduct 30, 60, and 90 day follow-ups to collect outcomes and provide ongoing support Travel to client worksites as needed Participate in team meetings and contribute to planning sessions as needed All other duties as assigned Qualifications: High school diploma or equivalent; relevant college coursework or degree preferred. Strong organizational skills with attention to detail. Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with database management. Ability to use Google tools such as Google Slides (PowerPoint equivalent), Gmail, and Google Sheets. Effective communication skills, both written and verbal. Ability to work independently and collaboratively in a team environment.
