Senior Administrative Coordinator The Senior Administrative Coordinator is responsible for managing administrative activities and providing office support to the US Director of the Ministry Board. This position also oversees the diverse travel portfolio for the organization. Additionally, the coordinator will assist the Director of Partnership Administration in managing the Crisis 24 website and will support the Office of the General Secretary with the preparation of annual meetings. This position is full-time at 36 hours a week and offers a hybrid work schedule, an attractive benefits package (including retirement fund contribution), and three weeks of vacation. Key Responsibilities: Essential duties and responsibilities include the following: Maintain the director's calendar, schedule appointments, and coordinate all logistics for meetings and conferences, including travel. Monitor the director's e-mail correspondence and forward to other appropriate staff, as needed. Prepare, process, track invoices, check requests, and expense reports for the director in Concur and Nexonia. Assist the US Ministry Board Director and Board Chair in preparing and distributing agenda materials and minutes for board meetings. Organize and prepare correspondence, files, and official records as directed. Input pertinent information into the denominational database as directed. Perform routine copying, printing, and gathering of information, as needed. Assist with greeting and directing visitors who visit the denominational office. Manage local vendor relationships to ensure best pricing and practices. Manage the CRCNA internal travel site. Assist in the development and training of CRCNA travel policies and procedures. Serve as the designated point person for any travel questions, needs, or issues that may arise. Assist the Director of Partnership Administration with the management of the Crisis 24 website. Assist the Office of General Secretary with the preparation and hosting of the Council of Delegates meetings, Synod, and committee meetings. Record and distribute agendas, materials, and minutes. Other duties as assigned by the US Director of the Ministry Board. Skills, Knowledge & Expertise: Qualifications: Able to support the mission, vision, and values of the CRCNA. Intermediate proficiency in Google Suite and Microsoft Office. Demonstrated willingness to learn systems specific to the organization. Proven ability to organize tasks and responsibilities, including multitasking, setting priorities, and deadlines, etc. Excellent verbal and written communication skills. Proven ability to establish and maintain cooperative working relationships with co-workers and external contacts. Ability to handle challenging situations and difficult conversations is an asset. Intermediate knowledge of the CRCNA governance, agencies, and/or Calvin Theological Seminary is preferred. Education and Experience: Some college coursework in a related field is required. A bachelor's degree is preferred. Intermediate administrative office experience is preferred. Basic experience in event planning is preferred. Physical Demands: The ability to have a weekly presence in the CRCNA denominational office in Grand Rapids, Michigan, USA. Adhere to a hybrid work schedule, coming into the office on Tuesday, Wednesday, and Thursday. Work Environment: Traditional climate-controlled office environment. Frequent video calls/meetings are required. Attend off-site meetings as needed in the local area, e.g., Calvin Theological Seminary. Attend in-person, extended-day meetings throughout the year, including the annual denominational meeting. Extended work hours are required for these meetings. Some travel throughout North America may be required on an occasional basis.
