Position Overview The Fleet and Administrative Assistant will be responsible for the management of our internal and external Fleet Databases, gas card management and distribution, DMV registration and management, and additional administrative tasks that fall within Fleet and Human resources. This role requires a strong need for maintaining confidentiality, understanding of creating and updating Standard Operating Procedures, strong organizational skills, and Microsoft Office programs skills. Key Responsibilities 1. Fleet Coordinator Maintain and update our current Internal Fleet Log Maintain and update Holman Insights to ensure our data matches the Internal Fleet Log, including but not limited to: Uploading registration documents, ensure driver information matches the vehicle being driven, etc. Support field crew with coordination vehicle maintenance and repairs Approve PO's in Holman for vehicle repairs and maintenance Ensure all drivers are added into Holman and information is updated accordingly Ensure all drivers are loaded into Mansfield and that gas cards are ordered and functioning Support field staff with potential gas cards issues, including but not limited to troubleshooting and requesting replacement cards Ensure vehicle registrations are up to date and that DMV invoices are paid in a timely manner Maintain and update Geotab Review Geotab reports and coordinate with the Senior Human Resources on flagged employees with warning risks Ordering of replacement Geotab devices and setting up installation Ensure fleet has updated decals installed for DOT and Contractors License numbers Additional tasks as assigned 2. Administrative Coordinator Printing and distribution of weekly timecards for our Maintenance and Installation division Scanning signed timecards into Dropbox Printing and distribution of Safety Tailgate Topics for Maintenance and Installation division Scan signed Safety Tailgate Topics Support Senior Human Resources Generalist with planning companywide events such as; Summer BBQ, Holiday Party, etc. Support in uploading Concentra Transcriptions into Workday for Safety Incidents Support with inventory of first aid kids, fire extinguishers, PPE and ordering replenishment as needed Employee Uniform managements including but not limited to inventory, ordering, and distributing uniforms Manage and track technology orders; new hires and current employees, including but not limited to: cell phones, iPads, laptops, docking stations, additional monitors Qualifications Bachelor's degree in human resources or similar field 1-3 years of experience in Human Resources and/or Fleet Management Strong understanding of confidentiality best practices Proficiency with Microsoft Office software (Word, Outlook, Excel, PowerPoint) Excellent analytical, mathematical, and problem-solving skills. Strong understanding of DMV best practices Strong written and verbal communication skills with attention to detail and accuracy. Professional demeanor with a commitment to precision and integrity.
