Executive Assistant Canonsburg Office - Canonsburg, PA 15317 Overview Salary Range $33.98 - $44.18 Hourly Position Type Full Time Position Overview The Executive Assistant provides high-level administrative, operational, and communications support to the President & CEO and the Executive Leadership Team at Arc Human Services (AHS). This role helps the Executive Office stay organized, responsive, and aligned by supporting scheduling, meeting coordination, executive communications, board logistics, stakeholder follow-up, and internal coordination across departments. What You'll Do You will serve as the CEO's primary administrative partner by managing calendars, coordinating workflows, tracking follow-up items, and helping ensure executive priorities move forward on time. You will also provide direct support to the Executive Leadership Team by assisting with scheduling, meeting preparation, and administrative follow-through. In this role, you will coordinate internal meetings and leadership check-ins, support agendas and meeting materials, and help track action items. You will also assist with planning for external commitments, making sure the details are accurate and organized. You will coordinate Board and Committee meetings and help maintain key governance materials, including Board records, committee documentation, and bylaws updates. You will also help draft and edit executive communications, presentations, and written materials, supporting the CEO's voice and priorities. As needed, you may assist with internal announcements, leadership communications, and scheduling or posting social media content in partnership with the communications team. Qualifications Minimum of three (3) years of administrative support experience, preferably supporting senior leadership, with demonstrated ability to manage calendars, meetings, written communications, and administrative workflows in a fast-paced environment. The ideal candidate will demonstrate professionalism, discretion, and urgency in supporting executive leaders, along with strong written communication skills and the ability to draft clear, polished messaging in an executive tone. Must possess exceptional organizational skills with the ability to manage multiple projects, shifting priorities, and tight deadlines while maintaining strong attention to detail and consistent follow-through. High proficiency in Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams, SharePoint) and comfort using AI-enabled tools for drafting, editing, and administrative organization is required. Candidates must be able to coordinate logistics across multiple departments, communicate effectively with internal and external stakeholders, exercise sound judgment and integrity, maintain confidentiality with sensitive information, work independently, anticipate needs, and identify opportunities for process improvement. Associate's degree required; Bachelor's degree preferred. Experience supporting a CEO, executive team, or board of directors; supporting communications, event coordination, or external stakeholder engagement, and familiarity with a healthcare, human services, nonprofit, or multi-site organization environment.
