Administrative Assistant - Big Oak Plant - San Antonio, TX Iron Oak Energy, a leading provider of proppant to the oil and gas industry with a differentiated footprint of low-cost, logistically advantaged mining and terminal assets serving all major U.S. shale basins. The combination positions Iron Oak Energy with unmatched scale, reliability, and deliverability to customers in all major oil and gas shale plays. Iron Oak Energy is seeking an Administrative Assistant, to be based out of the company's San Antonio, TX facility. As an Administrative Assistant, you will perform administrative and customer service duties for the plant. This role will assist the Plant Manager, Operations Manager, and designated supervisors with various administrative duties. Key Responsibilities: Coordinate and maintain effective office procedures and efficient workflow. Implement Corporate and plant-specific policies and procedures. Greet and direct visitors and telephone callers to the appropriate person(s) as circumstances warrant. Take actions authorized during the Plant Manager's and/or Operations Manager's absence to see that matters requiring attention are referred to the delegated authority or handled in a manner so as to minimize the effect of the Manager's absence. Coordinate and direct incoming and outgoing mail and courier services. Maintain appropriate records and manage them per policy. Periodically purge files per the Records Retention Policy and Procedure. Serve as liaison with Corporate Customer Service to provide customers with needed support and processing of orders. Compile daily, weekly, monthly, and annual reports of shipments, costs and production. Ensure completion of weekly payroll process. Assist in the organization and execution of community service projects. Coordinate onboarding of employees Prepare correspondence and reports as required. Select and/or make recommendations for purchases of office supplies and equipment. Research and collect information in preparation for meetings, work projects and reports. Coordinate meetings and teleconferences as required. Maintain plant personnel records and insurance records, coordinating with Corporate Human Resources Department. Maintain petty cash fund, accounts payable, payroll and related activities. Participate in training provided by the Company. Accept responsibility without direct supervision. Exercise initiative and judgment and make decisions within the scope of assigned authority. Perform other projects and duties as assigned.
