Position Overview We are seeking a highly organized and detail-oriented Payroll Associate to join our rapidly growing pharmaceutical company. As a Payroll Associate, you will be responsible for ensuring accurate and timely processing of payroll for approximately 250+ employees. You will play a crucial role in maintaining the confidentiality of sensitive information, processing employee data, handling tax filings, and supporting the company's benefits programs. This role requires experience with payroll systems, particularly ADP, proficiency in Excel, and familiarity with multi-state tax compliance. Essential Functions, Duties and Responsibilities The following duties are considered essential to the role. Payroll Processing: Process bi-weekly payroll for approximately 250 (and growing) employees ensuring timely and accurate disbursement of wages, expense reimbursements, bonuses, and other employee benefits. Employee On and Off Boarding: Manage payroll-related onboarding and offboarding processes, including setting up new hires in the payroll system, processing final pay and deductions (in coordination with federal, state and local laws), coordinating benefits and tax changes, and ensuring all employee pay records are accurate, compliant, and completed on time. Data Management: Communicate employee data changes (e.g., new hires, terminations, compensation updates, job changes, etc.) to internal stakeholders in India to ensure timely and accurate updates across internal HR and payroll systems. Confidentiality: Safeguard sensitive payroll data, ensuring that all information is treated with the utmost confidentiality and in compliance with company policies and federal, state and local regulations. Payroll Vendor Management: Serve as the primary point person for our payroll vendor, ADP to troubleshoot, input, process, and reconcile payroll information, including deductions, bonuses, and other pay types; act as the US representative for global payroll coordination Multi-State Tax Compliance: Assist in setting up and managing tax registrations and all required new hire reporting for new states, ensuring compliance with federal, state, and local tax laws and regulations. Tax Filings & Reporting: Ensuring accuracy in the quarterly and annual tax filings, including state unemployment and payroll tax returns. 401(k) & Benefits Administration: Coordinate payroll-related reports for 401(k) plans, health benefits, and other company-sponsored programs. Ensure accurate deductions and adjustments are processed. Audit Support: Assist with internal and external audits of payroll data as necessary, ensuring compliance with all regulatory requirements. Reporting: Generate and distribute regular and ad-hoc payroll reports as requested by HR, finance, or management. Employee Inquiries: Respond to employee payroll-related questions in a timely and professional manner. Education and Experience: Experience: 3-5 years of experience in payroll administration, ideally within a fast-paced, multi-state environment. Pharmaceutical or healthcare industry experience is a plus. Education: Bachelor's degree in Accounting, Finance, Human Resources, or related field preferred but not required. Knowledge, Skills, and Abilities: Technical Skills: Advanced proficiency in ADP payroll system, Excel, and familiarity with accounting software. Knowledge of payroll and accounting best practices is essential. Attention to Detail: Extreme attention to detail, ensuring payroll is accurate and compliant with all relevant laws. Confidentiality: Ability to handle sensitive and confidential information with the utmost discretion and professionalism. Communication Skills: Excellent verbal and written communication skills. Ability to explain payroll-related information to employees in a clear and concise manner. Problem-Solving: Strong analytical and problem-solving skills to identify and resolve payroll discrepancies. Physical/Mental Demands and Working Environment: This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The role requires extended periods of sitting and computer use. Some walking, standing, bending, or carrying of light items (up to 10 lbs) may be required.
