Clinical Operations Administrative Assistant Classification: Hourly, Non-Exempt Location: Corporate/Clinics Job Summary: The Clinical Operations Administrative Assistant provides comprehensive administrative and operational support to the Clinical Operations Department within a Federally Qualified Health Center (FQHC). Accountable To: Clinic Operations Director Job Duties: This role ensures the efficient coordination of clinical activities, assists in implementing operational initiatives, supports compliance with HRSA, OSHA, and other regulatory standards, and facilitates effective communication among leadership, providers, and clinic staff. Provide administrative and clerical support to the Director of Clinical Operations and other clinical leadership. Assist with the coordination of clinic operations, meetings, projects, and performance improvement activities. Maintain organized documentation for audits, HRSA compliance, and clinical quality reporting. Serve as a communication liaison between clinical departments and administrative teams. Track, compile, and prepare operational data and reports related to staffing and quality metrics. Manage correspondence and follow up for clinical operations initiatives. Prepare correspondence, reports, and presentations related to clinical operations. Schedule and coordinate meetings, training, and department communications. Maintain accurate filing systems (electronic and physical) for operational, HRSA, and compliance documentation. Track licenses, certifications, and credentials for providers and clinical staff as directed. Support implementation of new workflows, policies, and procedures across clinic sites. Assist with tracking and follow-up on corrective actions related to site audits, infection control, and safety inspections. Monitor clinic supply requests, equipment issues, and maintenance coordination as needed. Assist with onboarding coordination for new clinical staff, including orientation materials and EMR access requests. Communicate effectively with internal departments such as Human Resources, IT, and Finance. Strong problem-solving and follow-up skills. Ability to collaborate effectively with multidisciplinary teams. Adaptability to changing priorities and organizational needs. Demonstrated ability to exercise sound judgment. Ability to maintain confidentiality of - Manage and maintain executive and company records. Demonstrate proficiency in various PC applications, including email, internet usage, and networking devices. Understand, adhere to, and enforce safe work practices while being knowledgeable about company policies and procedures regarding job safety, including relevant safety rules and regulations. Must have a reliable automobile, current insurance, and a valid California driver's license. Education and Experience Requirements: 2 years of college and/or 3 years of Office Administration or equivalent office experience required. Experienced in healthcare preferred. Bilingual in English/Spanish preferred. Strong organizational, time management, and multitasking skills. Excellent written and verbal communication. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with Electronic Medical Record (EMR) systems preferred. Ability to maintain confidentiality and professionalism in a fast-paced environment. Working Conditions: Standard office environment with: Occasional walking, reaching with hands and arms, stooping, and kneeling. Ability to handle multiple tasks while also being tactful, diplomatic, and empathetic. Ability to organize and schedule work effectively. Ability to communicate effectively and tactfully with managers and other levels of personnel, in person and on the telephone. Ability to pay close attention to detail.
