Secretary To Director Work Schedule: Monday-Friday 8:00-5:00pm. Some evenings and weekends. The Secretary to the Director should be an organized, detail-oriented, have time management, excellent written and verbal communication, pro-activity and self-direction, problem solving, decision making and customer-focused individual versed in working in a highly professional, fast-paced work environment, managing multi-job-related duties, and performing diverse confidential administrative and supportive duties for the Director. This dynamic individual will assist with the daily operation of the Community Relations Board by providing routine and high-level administrative duties. High level of proficiency in computer applications, including Microsoft Office programs, NeoGov, Kronos, Workplace and video conference platforms. They may also be responsible for organizing events and fundraisers. Examples Of Duties Answer phones, prioritize calls and emails, greet visitors, and direct visitors to the appropriate office. Managing schedules and communications for the Director. Perform clerical and administrative duties, such as composing letters, memos, emails, reports, notetaking, and other requested correspondence. Perform intake of applications. Maintain updated records and accounting of all applications. Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary Create and maintain filing systems, both electronic and physical. Creates and manages agendas, gather documents and prepare for meetings. Take notes at meetings. Ensuring confidentiality of information. Serves as Human Resources Lead All other duties as assigned Minimum Qualifications Candidate must have a High School Diploma/GED. Strong fluency in Microsoft Office products like PowerPoint, Word, Outlook etc. Ability to work independently, exercising responsible judgment and initiative Ability to work in a team environment Must have strong communication and exceptional interpersonal skills Candidate must be available to work within the prescribed hours or if flexible hours or offered, during the season in which he or she is employed.
