The primary role of the Western Region Request Processing Lead is to ensure subpoena and authorization requests are processed accurately and timely. Essential Duties & Tasks: Review order information in MCS Software to ensure accuracy and completeness. Process normal orders within 2 business days, rush orders within 1 business day, and Must Go orders within 6 hours. Research facilities not listed in the Custodian Database by conducting web searches and contacting entities directly. Assign issued requests to the correct Rep Codes to ensure proper follow-up. Update daily count Excel spreadsheets with accurate and timely data. Resolve Data Entry Team queries regarding missing or inaccurate information on client order forms. Enter all orders in chronological date order to maintain workflow integrity. Protect confidential case and participant information in compliance with HIPAA, California Privacy Laws, and other federal, state, and local regulations. Collaborate with Logistics and Customer Service teams to update the MCS Custodian Database based on attempted serves and entity updates. Audit generated documents through spot checks to verify accuracy and quality standards. Communicate with clients via phone and email to obtain additional information, address order issues, and recommend alternative legal methods when necessary. Knowledge, Skills and Abilities: Demonstrate strong attention to detail to ensure legal documents are generated accurately and efficiently, preventing unnecessary costs and delays. Apply knowledge of legal requirements and limitations to ensure all Request Processing team members comply on every order. Possess a legal background or strong interest in the legal records procurement industry. Exercise sound judgment and make timely decisions while guiding team members to act in the best interest of clients and MCS. Utilize geographic knowledge and map-reading skills to support order accuracy and routing. Maintain understanding of process service procedures and best practices. Lead and delegate effectively to team members working both onsite and remotely. Bring a minimum of 2 years of related work experience. Hold a high school diploma or equivalent; associate or bachelor's degree preferred. Demonstrate strong proficiency in Microsoft Word, Excel, Outlook, Teams, SharePoint, OneDrive, and Adobe. Communicate clearly and professionally, both verbally and in writing. Type proficiently and manage electronic documents, including downloading, organizing, and maintaining digital files. Interact effectively with individuals at all organizational levels. Contribute as a creative, flexible, and innovative team player. Work independently and collaboratively across teams and committees. Commit to working full-time onsite in the MCS Santa Ana, CA office. Equipment Software: Must be proficient on the computer, laptop, monitors, mouse, keyboard, headset, copier, scanner, fax machine. Must be proficient in MS Office and Google Apps. Must have working knowledge of Teams, Zoom, GoTo, or a similar virtual meeting platform
