Executive Assistant To The Chief Ambulatory Officer UW MEDICINE'S AMBULATORY EXECUTIVE OFFICE has an outstanding opportunity for a full-time executive assistant to the chief ambulatory officer. This role independently ensures smooth department operations through highly confidential and professional executive support, necessitating a high degree of tact, discretion and diplomacy. Primary job responsibilities include: Planning, coordinating, and implementing policies and procedures to support the chief ambulatory officer, so that all regulatory requirements are met. Acting as a communication liaison with UW Medicine leadership and community leaders as needed. Communicating and liaising with various stakeholders, ensuring clear conveyance of the chief ambulatory officer's messages and managing feedback appropriately. Operating independently, making decisions and taking actions with delegated authority to support high-level executives, including the chief ambulatory officer. Managing time-sensitive communications, which requires the ability to quickly and accurately convey information to various audiences. Meeting the demands of competing stakeholders, each with unique needs and expectations. This role requires outstanding writing abilities and the ability to communicate verbally with senior leaders, staff, and the general public. Recording, composing, and editing minutes of meetings as requested. Independently managing both short-term tasks and long-term projects. Handling highly confidential and sensitive information with the utmost discretion and professionalism. Serving as a confidential liaison to the chief ambulatory officer and managing the executive calendar and coordinating day-to-day activities of the chief ambulatory office. Independently arranging and coordinating committee meetings, special events, open forums, and other hospital activities. Scheduling appropriate accommodation, ordering/operating equipment, and coordinating logistical activities as needed. Utilizing various software and tools for document preparation, calendar management, and communication. Required: Bachelor's degree in business administration, communications, healthcare administration, or related degree. Five years' experience supporting a C level executive. Equivalent experience may substitute for degree requirement.
